Office Associate

We are seeking a dependable, organized, and professional Part-Time Office Administrator to support the day-to-day operations of a professional services office. The position will primarily support our financial services practice while also assisting with general office administration across the organization as needed. This is a great opportunity for someone who is detail-oriented, personable, comfortable working with clients, and able to keep an office organized and running smoothly. Responsibilities Provide administrative support to the financial advisory team and professional office Answer and direct phone calls, emails, and general client inquiries Schedule client meetings and manage calendars Prepare meeting materials, forms, and client paperwork Assist with client onboarding and maintaining organized client records Follow up with clients regarding documents, appointments, and outstanding items Scan, file, organize, and maintain digital and physical records Assist with correspondence, document preparation, and general office projects Help maintain client databases and internal tracking systems Coordinate office supplies, mail, and other day-to-day office needs Provide occasional administrative support for other professional services within the office Maintain confidentiality when handling sensitive client and business information Qualifications Strong organizational skills and attention to detail Friendly, personable, and comfortable working with a wide variety of people Strong interpersonal skills with the ability to make clients feel welcomed and well taken care of Professional communication skills in person, over the phone, and by email Ability to manage multiple responsibilities and follow through on tasks Proficiency with Microsoft Office, Google Workspace, and general computer systems Ability to learn new software and office processes quickly Dependable, trustworthy, and able to handle confidential and sensitive information Must be able to successfully pass a background check Previous administrative, financial services, banking, insurance, legal, or professional office experience is a plus, but not required Schedule: Part-time, approximately 22-25 hours per week Work Arrangement: In-office Location: Redding, CA We are looking for someone who takes initiative, genuinely enjoys working with people, and wants to become an important part of a growing professional office.
