Employment Type: Full-Time

HRM Concrete is seeking an experienced, organized, and highly motivated Dispatcher to help manage the daily scheduling and delivery of ready-mix concrete.

This is a critical operations position within HRM Concrete. The Dispatcher is responsible for staying ahead of the operation, ensuring the following day's schedule is accurate and achievable, coordinating trucks and drivers, communicating with customers, and making real-time adjustments throughout the day.

We are looking for someone who takes ownership of the schedule rather than simply reacting to problems as they occur.

Key Responsibilities

Scheduling and Next-Day Planning

One of the most important responsibilities of this position is ensuring the following day's schedule is accurate, confirmed, and operationally achievable.

The Dispatcher will:

• Review all orders scheduled for the following day.
• Confirm next-day orders with customers and appropriate contacts.
• Verify start times, quantities, pour rates, mix designs, jobsite locations, and special delivery requirements.
• Identify scheduling conflicts before they become operational problems.
• Build an efficient delivery schedule based on available trucks, drivers, plant capacity, job locations, and customer requirements.
• Communicate the completed schedule to operations personnel.
• Make adjustments as orders are added, changed, delayed, or canceled.

Scheduling and confirmation of the following day's orders is a critical responsibility of this position.

Daily Dispatch Operations

• Dispatch ready-mix trucks efficiently throughout the day.
• Maintain communication with drivers, plant personnel, customers, sales, and operations.
• Monitor truck availability, cycle times, job progress, and customer demand.
• Adjust schedules based on weather, traffic, plant issues, customer changes, truck availability, and jobsite conditions.
• Minimize unnecessary driver and truck downtime.
• Maximize truck utilization while maintaining a high level of customer service.
• Communicate delays and operational issues quickly so they can be addressed before significantly affecting customers.

Truck Availability and Maintenance Coordination

• Work closely with the Truck Maintenance Department regarding trucks that are down for maintenance or repair.
• Maintain an accurate understanding of available equipment.
• Track when down trucks are expected to return to service.
• Account for unavailable trucks when building upcoming schedules.
• Communicate operational priorities to maintenance when appropriate.
• Maintain accurate dispatch records regarding truck availability.

Driver Scheduling and Staffing

The Dispatcher will work closely with the Driver Foreman, Human Resources, and Operations Management to ensure adequate staffing.

Responsibilities include:

• Account for approved vacation, PTO, scheduled absences, and other time off.
• Ensure approved time off is reflected in driver schedules.
• Assign the appropriate drivers to the appropriate trucks.
• Identify potential driver shortages in advance.
• Communicate staffing and scheduling concerns to management as early as possible.

Customer Service

• Maintain professional communication with customers throughout the scheduling and delivery process.
• Respond quickly when schedules change or problems occur.
• Provide realistic information regarding delivery times and truck availability.
• Communicate significant customer complaints or service issues to management and sales.
• Help maintain HRM Concrete's reputation for dependable service and communication.

Operational Efficiency

The Dispatcher is expected to actively manage the operation and continuously look for opportunities to:

• Improve truck utilization.
• Reduce excessive driver hours and overtime.
• Reduce unnecessary standby and waiting time.
• Improve truck cycle times.
• Increase productive yards delivered per paid labor hour.
• Balance customer service with the efficient use of HRM's drivers, trucks, and plants.

Experience in ready-mix concrete, construction materials, trucking, logistics, dispatch, or a similar high-volume transportation environment is strongly preferred.
