Project Coordinator – Luxury Custom Home Construction

Position Overview:

We are seeking a highly organized and detail-oriented Project Coordinator to support high-end custom residential construction projects. This position will serve as a key link between clients, field superintendents, subcontractors, vendors, architects, interior designers, and leadership to ensure projects run smoothly from start to completion.

The ideal candidate will have strong knowledge of custom residential construction, excellent organizational and communication skills, and the ability to provide administrative, estimating, financial, and project coordination support in a fast-paced environment.

Key Responsibilities:

Project & Operational Support

• Support the day-to-day administrative and operational needs of active custom home projects.
• Maintain organized project files, contracts, change orders, architectural plans, specifications, and related documentation.
• Assist with project scheduling, follow-ups, meetings, and general project coordination.
• Coordinate with subcontractors and vendors regarding schedules, documentation, and project requirements.
• Obtain and maintain required subcontractor documentation, including insurance certificates and lien waivers.
• Help ensure effective communication between office personnel, field teams, subcontractors, vendors, and leadership.

Estimating & Financial Support:

• Assist with construction takeoffs, material quantity calculations, and preliminary estimates.
• Gather pricing from suppliers and subcontractors.
• Assist with preparing project budgets and cost estimates.
• Accurately calculate measurements, square footage, material quantities, percentages, and project costs.
• Track project expenses, purchase orders, invoices, and costs against established budgets.
• Assist with change order documentation and cost tracking.

Client Relations & Communication:

• Provide professional, responsive, and detail-oriented communication to clients and project stakeholders.
• Assist with client progress updates, selections, schedules, and meeting coordination.
• Coordinate communication with architects, interior designers, trade partners, and vendors.
• Maintain a polished and professional level of customer service appropriate for luxury residential clients.

Qualifications & Skills:

• 2–3+ years of experience in residential construction, custom homebuilding, construction coordination, or a related field preferred.
• Strong understanding of custom residential construction processes, terminology, materials, and building phases.
• Experience reading architectural and construction plans.
• Basic understanding of construction estimating, takeoffs, and project budgeting.
• Strong mathematical and analytical skills with excellent attention to accuracy.
• Experience coordinating subcontractors, vendors, project documentation, or schedules.
• Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
• Experience with construction management or project management software preferred.
• Excellent written and verbal communication skills.
• Strong organizational and multitasking abilities.
• Highly detail-oriented, proactive, and capable of managing multiple priorities.
• Professional and polished demeanor with strong customer service skills.

Preferred Candidate:

The ideal candidate will have a background in luxury custom homebuilding or high-end residential construction and be comfortable supporting both the administrative and estimating sides of construction projects. Candidates should be organized, proactive, numerically strong, and capable of communicating professionally with high-end clients and construction professionals.
