Please note, The City of Aurora will conduct ongoing screenings of applications on a first come, first-serve basis; as soon as we determine to have a qualified pool of applicants, this position may close quickly and without notice.OVERVIEW OF POSITION / DEPARTMENTThe Executive Specialist to the Mayor provides complex administrative and direct support to functional areas for the Mayor and/or City Council. The City of Aurora is governed by a council/manager form of government. This structure provides a balanced approach-combining the political leadership of elected officials with the managerial expertise of a professionally trained local government manager. Council members are the policymakers, elected by popular vote. They focus their attention on Aurora's goals, major projects, setting policy, and long-term considerations such as land use development, capital financing, and strategic planning. This position works closely with other executive level support and reports to the Senior Executive Administrative Supervisor in the City Manager’s Office. This is an in the office position with little opportunity for remote work.PRIMARY DUTIES & RESPONSIBILITIESProvide executive level administrative support to the Mayor and/or Council.Schedule appointments and meetings (virtual and/or in person).Maintains multiple calendars; compose correspondence and create reports.Interacts with the Mayor and/or Council, consultants, outside agencies and city staff including providing reports and research information as needed.Completes assignments from the Mayor and/or Council on a variety of issues.Create letters, memoranda, and other documents.Answer inquiries from citizens and employees.Assists Mayor and/or Council in resolving essential issues.Able to understand and follow all city policies and procedures.Performs other duties as assigned.Manage meeting or event logistics, including virtual access (Teams) and meeting room reservation, coordination of communications among high level internal/external meeting attendees.Maintain directories, manuals and files.Purchasing card custodian.Conduct research and complete special projects.Communicate clearly and efficiently with elected officials, executive staff and office colleagues.Prepare reports and distribute as needed.Provide administrative support to various city council related committees/meetings as needed including but not limited to agendas, minutes, meeting notifications, uploading agenda to website and meeting setup.Make conference and travel arrangements; complete travel and expense documentation.Receive, direct, research and respond to citizen, council and high-level political inquiries and complaints.Coordinate responses to Council requests for information as needed.Ability to work in a professional manner while in a fast and dynamic environment.MINIMUM QUALIFICATIONS & WORKING CONDITIONSMINIMUM QUALIFICATIONSEducation:Preferred - Associate's degree In public administration, office administration, business or directly related fieldAn equivalent combination of education, training, and experience that demonstrates required knowledge, skills and abilities may be consideredExperience:Four (4) years progressively responsible executive level administrative experience in public service, complex report writing and making presentations including complex spreadsheet and database developmentMunicipal or county government experience strongly preferredKnowledge:Principles and practices of policy research, development and analysisKnowledge of office administration practices and proceduresComposition, grammar, letter and correspondence formattingSkills:Strong interpersonal, analytical, verbal, presentation and written communication skills.Advanced skill in the use of a computer including all Microsoft programs, power-point, spreadsheet design, database management, word processing, and/or statistical software applications. Familiarity and/or ability to learn eSCRIBE, Workday, Service Now and other software systems as needed.Preferred: Proficiency in Spanish.Abilities:Establish and maintain effective working relationships with elected officials, city management, employees and citizens.Ability to multi-task.Must be detail oriented and extremely organized.Handle confidential and sensitive situations with tact, discretion and diplomacy.Communicate effectively verbally and in writing.Establish and fulfill goals and objectives.Prepare and deliver presentations.Work independently or in teams to complete assignments.Licenses and/or Certificates:Colorado Driver's License with a good driving history.Become Notary within 60 days of employment.Equipment Used:Frequently uses standard office equipment including a computer system and routine software and business applications, including but not limited to: word processing, spreadsheets, presentation software, and audio-visual equipment.This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment.WORKING CONDITIONSPhysical Demands:Sedentary physical work requiring the ability to lift a maximum of 25 pounds.Occasional lifting, carrying, walking, pushing, and standing, set up and tear down of meetings/events.Vision for reading, interpreting reports, and preparation of data analysisHand/eye coordination for operation of a computerSpeech communication and hearing to maintain communication with employees, and citizensWork Environment:Works in a clean, comfortable environmentWorks in an open area and may be subject to noise as part of normal office activity (shredder, white noise, conversation, etc.)Essential Personnel:When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.The city of Aurora will implement furlough days (unpaid days off) for most employees in 2026.
