Our approach allows us to provide comprehensive, individualized care tailored to each pet’s unique needs and ensure that our clients receive the highest standard of care at every stage throughout their health journey. More About The Role: Reporting to the Regional Director of Operations, the Practice Manager manages all essential business functions in veterinary practice and supports the practice teams. The Practice Manager works in partnership with the Managing Doctor (MDVM) to ensure successful practice operations, high client satisfaction, and manage practice teams. In collaboration with the MDVM, the Practice Manager is responsible for ensuring profitability of the practice, growing the business and protecting the practice legacy. The critical focus areas include Practice Operations, HR, Marketing, Strategic Planning, and IT Management. The Practice Manager must be a strong people manager, possess great business acumen and enjoy leading and developing a team. Additionally, the Practice Manager ensures the practice has engaged and productive teams that drive high‑quality patient care and exceptional client service. Essential Responsibilities: Manages practice financial performance, putting plans in place and engaging teams around activities that drive revenue for growth. Manages practice expenses including pharmacy, supplies, labor, and facility. Ensures appropriate inventory management with a balanced stock level. Partners with MDVM to ensure accurate pricing. Provides input during annual budget planning. Creates or analyzes performance reports and generates insights to improve performance. Applies veterinary practice management knowledge to direct successful daily operations. Ensures all practice technology is appropriately working. Ensures compliance with regulatory agencies, monitoring incidents, documenting, and partnering with RDO when appropriate. Maintains practice cleanliness to support an excellent client experience. Schedules staff and patient appointments to satisfy clients and team members. Manages vendor and supplier relationships for practice supplies and equipment. Tracks employee payroll, maintains records, and resolves discrepancies. Handles accounts payable duties including processing invoices and reconciling records. Partners with MDVM to maintain a compliant medical record system. Reviews client feedback to identify opportunities for improvement and resolves customer issues. Collaborates with Heartland Marketing to develop and implement a marketing strategy aligned with practice goals, overseeing social media and community initiatives. Ensures appropriate staffing and collaborates with Heartland’s Recruiting team to fill openings. Builds and nurtures relationships with key stakeholders to drive practice success and operational efficiency. Supports the practice by working in the client reception area or assisting veterinarians if technically capable. Partners with Heartland Support Center as needed. Ensures all team members adhere to operating procedures and maintain accurate veterinary records. Ensures compliance with OSHA, DEA, EEOC, ADA, and Department of Labor regulations; develops necessary procedures. Ensures all team members complete annual compliance‑related activities, training, and safety training. Maintains confidentiality and secures employee records. Conducts annual performance evaluations, salary increases, and regular staff meetings, trainings, and activities. Partners with RDO and Heartland Human Resources to navigate employee relations and labor law issues. Conducts regular check‑ins with team members to provide tools and support for delivering great client experiences. Ensures team members are engaged and supported to remain balanced and productive. Monitors performance of each team member; rewards successful performance and manages corrective actions. Seeks support from RDO, Heartland Human Resources, or other team members to ensure team success. Ensures professional development and regular feedback for all team members. Other duties as assigned. Requirements/Qualifications: Full‑time, on‑site; ability to work weekends as needed. High school diploma or equivalent; Associate degree in applied science, veterinary technology, or business a plus; Practice Manager Certification a plus. Ability to lift patients and carry equipment up to 25 pounds; lift over 25 pounds with assistance. Knowledge of OSHA safety techniques and proper PPE use. Excellent computer skills including MS Office and office technology. Basic math and ability to calculate medication dosages. Strong communication skills. Client service experience.
