Flexible Hours Based on Seasonal NeedsPosition SummaryWe are seeking a reliable and organized seasonal Office Assistant to support the day-to-day operations of our Emporia satellite office during tax season. This role serves as an in-office resource for clients and staff, helping manage client documents, appointments, and administrative tasks while ensuring the office remains welcoming and efficient.The ideal candidate is professional, detail-oriented, comfortable learning office procedures, and able to assist clients with routine questions and processes.Primary ResponsibilitiesClient SupportWelcome clients and assist with document drop-offs and pickups.Help clients navigate routine office procedures and answer basic questions.Schedule and confirm client appointments.Maintain a professional and welcoming office environment.Direct client questions to the appropriate team member when needed.Document ManagementScan and upload client documents into the firm's document management system.Organize and save electronic files according to established procedures.Prepare and send documents for electronic signature.Monitor electronic signature requests and notify staff of completed items.Maintain accurate and organized client records.Administrative SupportAssemble completed tax returns and client delivery packets.Process incoming and outgoing mail.Assist with filing, copying, and other clerical tasks.Keep office supplies stocked and organized.Provide general administrative support wherever needed.QualificationsStrong attention to detail and organizational skills.Friendly and professional customer service skills.Ability to follow established procedures and maintain confidentiality.Basic computer proficiency, including Microsoft Office applications.Ability to learn document management, scanning, and electronic signature software.Prior administrative or clerical experience preferred but not required.Key TraitsDependable and punctual.Comfortable working independently.Organized and detail-oriented.Positive and professional attitude.Willingness to assist with a variety of office tasks as needs change throughout the tax season.Physical RequirementsAbility to operate office equipment, including scanners, copiers, and computers.Ability to lift and carry files, boxes, or office supplies up to 20 pounds.Ability to move throughout the office and remain seated for extended periods as needed.This seasonal position plays an important role in supporting clients and staff during the busy tax season by ensuring documents, appointments, and office workflows are handled efficiently and professionally.
