Program Support Assistant (OA)

Summary Incumbent serves as program assistant for Patient Care Services - actively participating in the management of a variety of technical and administrative functions. DIRECT HIRE AUTHORITY: This position is being filled using Direct-Hire Authority (5 CFR 337.205) for this occupation. Qualifications To qualify for this position applicants must meet all requirements by the closing date of this announcement - 07/13/2026. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include - but are not limited to: experience managing clerical and administrative support in an hospital or office setting; using various office software such as Word - Excel - and PowerPoint; creating and generating reports; coordinating - planning - and organizing administrative duties; preparing meeting agendas and minutes; communicating orally and in writing to internal and external customers; researching various publications - manuals - handbooks - and policies; analyzing - extracting - tracking - summarizing - and compiling information for reporting and review; preparing correspondence; providing customers with consistent information according to established policies and procedures - etc. For more information on these qualification standards please visit the United States Office of Personnel Management's website at Duties Prepares various reporting documents Utilizes data obtained from a variety of sources; the incumbent independently calculates, computes, prepares, and distributes various reports and special analyses or reviews for use by the hospital and service administrative staff and program officials ensuring accuracy, completeness and timeliness Uses computer applications proficiently and manages hardware and software systems (including Microsoft Word, Excel, Outlook). Provides primary support for service including coordinating communications for staff and patients/families Prioritizes messages and notifies staff appropriately for necessary action Enter and retrieves patient/program data and assimilates reports Manages inquiries and problem solves customer concerns – refers to program official as appropriate Clerical duties such as timekeeping, faxing, filing, typing, using computer applications, coordinating meetings efficiently Prepares minutes – exercising independent judgment to determine important aspects for appropriate inclusion or deletion Maintains confidentiality of sensitive information at all times in accordance with medical center policy, directives, and other applicable requirements Assumes responsibilities for other duties when assigned or required to support the organization's mission Work Schedule: Monday -- Friday: 7:00 am - 3:30 pm or 7:30 am - 4:00 pm.
