Case Administrator

The Case Administrator is responsible for a variety of responsibilities depending on the division of assignment. The main responsibilities include tracking and monitoring cases assigned to probation officers in non-direct supervision caseloads, such as Interstate and Intercounty Outgoing, Fugitive Apprehension Unit, Pretrial, Unsupervised, and Minimum Assessed Risk.

Position Qualifications: We recognize your time is valuable, so please apply if you meet the following required qualifications:

Education:•Associate's degree in Criminal Justice, Social Services, Behavioral Sciences, or a related field

OR

Combined education and experience qualifications:•Prior probation or court-related experience may substitute for post-secondary education on a year for year basis

Other Requirements:•Ability to pass a comprehensive background check•No prior criminal arrests

Our Preferred Candidate has:•Prior probation or court related experience

Knowledge, skills, and abilities: Knowledge of:•The Criminal Justice System•The structure and content of the English language including the meaning and spelling of words, rules of composition and grammar

Skill in:•The use of computer applications including spreadsheets, databases, and word processing software•Interviewing and obtaining information from Defendants and/or Probationers•Effectively communicating in person and in writing with officers, the courts, AG/CA, attorneys, clients, collateral contacts and other stakeholders

Ability to:•Establish and maintain relationships with MCAPD staff across divisions and provide customer service to all parties involved•Type a minimum of 35 words per minute with minimal errors•Write in a clear, concise and organized manner, using the most suitable format for your audience•Set priorities and complete assignments on time•Communicate effectively both oral and written•Evaluate and process complex information and recommend appropriate action•Work in a high-volume, fast-paced environment•Accurately prepare and maintain records, files, and reports•Process and handle confidential information with discretion•Work as a collaborative team

Essential Job Tasks (This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.):•Prepares documents, including items for Court; Orders probation files; Collates documents; Runs bookings and Criminal History checks; collates documents and files, data entry•Uses probation and criminal justice databases to check status of new charges, arrest information, immigration status and warrant status•Works closely with probation officers for caseload information, including reviewing cases for caseload eligibilities as appropriate•Obtains information from probationers; Communicates written and orally with victims, collateral contacts, courts, judges, attorneys and other criminal justice officials•Evaluates and processes complex information•Assists the supervising Probation Officer with tracking cases and court deadlines.•Handles inquiries from the community•Conducts program presentations and attends meetings

Working conditions: While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds.

Judicial Branch facilities are located throughout Maricopa County. This position may be reassigned to other locations. Assignments will be made based upon the needs of the department.
