GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

As the Development Assistant for Individual Giving, you will provide high-level administrative and strategic support to the Chief Development Officer for Individual Giving and the broader team. In this role, you will help advance the engagement of a dynamic pipeline of major donors through the drafting of correspondence, coordination of events, preparation of donor materials, and acknowledgments. You will ensure clear, consistent, and thoughtful communication across a portfolio of major donors, prospects, and internal stakeholders, while also supporting the management of gift documentation and the maintenance of donor and prospect records.

PRIMARY RESPONSIBILITIES & DUTIES:

• Maintain a strong understanding of the functions and priorities of Institutional Advancement, as well as projects related to the Chief Development Officer for Individual Giving, to support efficiency, forward momentum, and timely execution.
• Provide strategic management and oversight of the Chief Development Officer for Individual Giving's calendar, ensuring meetings, travel, and priorities are thoughtfully coordinated and aligned.
• Support the coordination and management of various donor council groups, including event planning, communications, travel programs, and ongoing member engagement and stewardship.
• Support donor engagement through the preparation of correspondence, invitations, and materials for cultivation, solicitation, and stewardship.
• Draft acknowledgment letters and related correspondence for major gifts across a broad range of donors and prospects.
• Provide administrative support for donor events, meetings, and related programming.
• Interface with the Deputy Director of Institutional Advancement, as well as Museum leadership, curatorial, and administrative departments.
• Maintain and update donor database records.
• Other projects and duties as assigned.
• Available to work evening and weekend hours as needed.

REQUIREMENTS & QUALIFICATIONS:

• BA degree or equivalent experience required; Art History, Art Administration, or English degree preferred.
• Previous experience in development or a related field, ideally in a non-profit context, strongly preferred.
• Excellent writing, editing, and communication skills.
• Ability to work under pressure and meet deadlines in a fast-paced environment.
• Ability to work well with others, as well as independently.
• High attention to detail and strong organizational skills.
• Strong computer skills and experience with Microsoft Office.
• Experience with Tessitura or other major development database system preferred.
• Experience with Workday or other financial management system preferred.
• Interest in the arts, culture, and a commitment to the Museum's mission.

COMPENSATION RANGE:

• Pay range $32.00 - $34.00 / Hourly

Location Requirements

At time of employment, employees are expected to be located within commuting distance of the Museum. "Commuting distance" means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the "Tri-state and PA" areas), and be able to commute to and from the Museum in a single day.
