Administrative Coordinator / Order Entry Specialist

Location: Denver, CO (On-site)

Schedule: Monday-Friday, flexible 8-hour shift between 7:00 AM and 5:00 PM

Employment Type: Full-Time

Position Summary

We are seeking a detail-oriented and proactive Administrative Coordinator / Order Entry Specialist to support our busy distribution operation in Denver. This role is ideal for someone who enjoys working in a fast-paced environment, thrives on accuracy, and takes pride in providing exceptional support to both internal teams and customers.

The successful candidate will play a key role in processing customer orders, coordinating with dealers, managing purchase orders, supporting invoicing activities, and ensuring smooth day-to-day office operations. This position requires excellent organizational skills, strong attention to detail, and the ability to effectively prioritize tasks in a high-volume environment.

Key Responsibilities

• Accurately enter and manage a high volume of customer orders across multiple accounts.
• Coordinate will-call orders, ensuring customer pickup dates are confirmed and warehouse fulfillment processes are communicated effectively.
• Process purchase orders for online orders, freight orders, and backordered products.
• Communicate with dealers via phone, email, and online channels regarding order status, damages, returns, replacements, and general inquiries.
• Maintain accurate records and documentation related to orders and customer communications.

• Assist with daily invoicing processes by matching warehouse documentation, scanning completed order records, and submitting files to the corporate invoicing team.
• Complete end-of-day administrative tasks related to warehouse order fulfillment activities.
• Answer incoming phone calls and direct callers to the appropriate team members.
• Provide general office support, including maintaining office supplies, replenishing copier paper, and supporting order processing systems.
• Collaborate with warehouse and office staff to ensure seamless day-to-day operations.

• Proactively identify opportunities to assist coworkers and support business needs.
• Prioritize daily responsibilities based on urgency and business impact.
• Maintain a positive, team-oriented attitude while adapting to changing priorities.

Required Qualifications

• 1-2 years of administrative, office support, customer service, or front desk experience.
• Strong attention to detail and organizational skills.
• Ability to perform repetitive tasks with a high degree of accuracy throughout the workday.
• Strong verbal and written communication skills.
• Ability to receive feedback constructively and apply coaching effectively.
• Demonstrated ability to manage competing priorities and stay organized in a fast-paced environment.
• Proactive mindset with a willingness to assist others and contribute to team success.

Preferred Qualifications

• Previous order entry experience in a distribution, manufacturing, wholesale, or logistics environment.
• Experience processing purchase orders and supporting invoicing functions.

Work Environment

• Fully on-site position
• Collaborative office and warehouse environment.
• Standard business hours are Monday through Friday, with flexibility to work an 8-hour schedule between 7:00 AM and 5:00 PM .
• Employees may choose either a 30-minute or 1-hour lunch break.
