Position Overview The Talent Acquisition Specialist serves as the operational, analytical, and collaborative core of the Talent Acquisition (TA) function at CTFF. This role is responsible for supporting the TA Manager with the overall recruitment and hiring process, building and managing candidate pipelines, producing data‑driven hiring reports, and maintaining strict compliance standards. Working closely with internal management, site leads, and external partners, this specialist translates hiring data into clear insights, executes proactive sourcing strategies, coordinates employer branding, and manages the critical behind‑the‑scenes administrative workflows that keep recruitment moving efficiently. Description Recruitment, Sourcing & Pipeline Management Assist the TA Manager with the overall recruitment and hiring process for open positions, managing assigned requisitions from initial intake through to the final offer. Own proactive sourcing across active and emerging markets, utilizing computer databases, LinkedIn Recruiter, Indeed, other resources, and employee referrals to build healthy candidate pipelines. Partner closely with site liaisons and site leads to stay abreast of current and future hiring needs, ensuring recruitment strategies align with business goals. Identify and engage passive candidates through community partnerships; arrange, coordinate, and attend job fairs. Serve as a point of contact for prospective candidates, answering phone calls, responding to inquiries, and delivering a high level of personal service, sensitivity, and fairness. (Performs approximately 35% of the day) ATS Management, Analytics & Department Administration Review employment applications and supplemental documentation within the company ATS. Maintain real‑time data accuracy so that all system records reflect actual pipeline status. Route and assign qualified candidates to site liaisons for interviews, and systematically track and maintain updated records of candidate interview results. Build and maintain weekly hiring metrics reports across active requisitions. Analyze staffing sheets to identify open needs, pipeline gaps, and trends over time (including time‑to‑fill, source effectiveness, and offer acceptance rates). Ensure department personnel documentation, typing, filing, and recordkeeping are meticulously maintained according to company and regulatory standards. (Performs approximately 35% of the day) Market Intelligence, Compliance & Reporting Convert raw hiring numbers and staffing data into clear, concise summaries, data snapshots, and talking points for leadership‑facing updates and presentations. Compile competitive market data, salary benchmarks, and talent availability by region to flag patterns before they become operational hurdles. Regularly research and maintain up‑to‑date knowledge of pre‑employment trends, labor relations, EEO guidelines, affirmative action laws (e.g., ADA, state disability regulations), and issues associated with discrimination or negligent hiring. Evaluate recruitment and selection criteria to ensure conformance to educational, professional, and statistical standards, recommending process revisions to management as needed. (Performs approximately 15% of the day) Employer Branding & Operational Support Coordinate timelines, assets, and publishing schedules for employer branding initiatives, collaborating with internal teams to ensure content is posted and tracked on schedule. (Note: Strategy is owned by the TA Manager; this role drives execution). Advise managers, site leads, and employees on staffing policies, procedures, and recruitment best practices. Provide ongoing feedback and hands‑on assistance to improve human resources management systems, form designs, and operational procedures. Attend all relevant staff meetings and demonstrate flexibility when requested to perform other administrative duties as assigned. (Performs approximately 15% of the day) Qualifications Minimum Qualifications Minimum of a high school diploma or GED equivalent, bachelor’s degree in related subject preferred; 2–3 years of relevant experience in human resources, recruitment, candidate sourcing, or data‑heavy administrative operations; Proven skill working with personal computers, including intermediate‑to‑advanced use of Google Suite (Docs, Sheets, Slides, Forms) and comfort reading spreadsheets and spotting data patterns. Direct experience utilizing an Applicant Tracking System (such as Paycom) or similar tracking and project management tools. Foundational understanding of the principles and procedures for personnel recruitment, selection, and pre‑employment compliance. Must be fully fluent in the English language with the ability to translate complex data into plain‑language summaries and executive talking points. Proven ability to build and maintain strong relationships with office staff, site leads, management, and external industry or campus partners. Demonstrate a high degree of trustworthiness, confidentiality, organization, and professional respect.
