Client Services Coordinator

Join the Team at Sign D' Sign Sign D' Sign is looking for an organized, energetic, and customer-focused Client Services Coordinator to help keep our clients informed and our projects moving. This is a fast-paced position for someone who enjoys working with people, solving problems, staying organized, and making sure details don't fall through the cracks. You will serve as an important connection between our clients, sales team, production department, installation crews, and company leadership . Your primary goal is simple: provide excellent client service while helping the team meet promised deadlines. If you're the type of person who follows up without being asked, communicates clearly, enjoys juggling multiple priorities What You'll Do Client Service & Communication Answer incoming client phone calls and emails professionally and promptly. Respond to client communications the same business day whenever possible, with a target response time of two business hours . Provide clients with accurate project updates and next steps. Confirm deadlines and communicate potential scheduling challenges early. Help clients understand artwork approvals, deposits, lead times, installation scheduling, pickup dates, and other project requirements. Proactively follow up on time-sensitive projects. Work to find solutions when clients have tight or difficult deadlines. Estimates & Order Entry Create and revise estimates and orders in Cyrious Control for house accounts, repeat customers, walk-ins, and incoming requests. Accurately enter project specifications including: Sizes and quantities Materials Due dates Client and site information Artwork and approval status Installation requirements Hardware requirements Special instructions Make sure production and installation receive complete information so projects can move forward without unnecessary delays or rework. Front Counter & Walk-In Customers Assist walk-in customers and gather the information needed to understand their project. Help establish project scope and expected timelines. Prepare estimates and orders when appropriate. Direct more complex requests to the appropriate sales, production, service, or field team member. Coordinate customer pickups and deliveries. Make sure required payments and documentation are completed before products are released. What We're Looking For The ideal candidate is: Highly organized and detail-oriented Professional and confident when communicating with customers Comfortable handling multiple projects and priorities at the same time Able to work effectively in a fast-paced environment Strong at following up and closing open items Comfortable working with computers, email, order-entry systems, and office software Able to enter information accurately and consistently Comfortable communicating with production and installation employees as well as customers Solution-oriented when schedules or projects become challenging Dependable and able to work independently without constant follow-up Previous experience in customer service, project coordination, order entry, administrative support, construction, manufacturing, printing, or the sign industry is helpful. Experience with Cyrious Control is a plus, but training can be provided for the right candidate. What Success Looks Like You'll know you're succeeding when: Clients receive prompt, professional communication. Calls and emails are handled the same day whenever possible. Orders reach production with accurate and complete information. Clients understand their project status and next steps. Missing information is identified before it delays production. Production and installation teams have the information they need. Preventable scheduling emergencies and last-minute "fire drills" decrease. Projects are actively followed through rather than waiting for someone else to notice a problem.
