Sr Doc Controls Specialist

This document control and project controls lead role at HNTB supports engineering and construction projects by developing, implementing, and managing document control systems, standards, and workflows. The position administers document control platforms for submittals, RFIs, change orders, and integrates contract administration tasks, such as validating contractor payment applications and maintaining accurate financial and project records. It also monitors project budgets, produces reporting and analysis for project and business leadership, and ensures compliance with regulatory, client, and company requirements, including DBE participation and documentation standards. Responsibilities Define standards and workflows for document management and lead the collection, authorization, publication, storage, retrieval, and retention of documents. Establish and maintain the document controls strategy, systems, policies, and procedures, covering authoring, approval, publishing, version control, and archiving of all project or program documents. Manage and audit document control processes and systems to ensure control and availability of documentation to appropriate personnel. Develop and implement document retention and archival processes that align with HNTB and client needs and comply with applicable laws. Review new and revised documentation for suitability and conformance to HNTB or client standards. Perform and/or support quality reviews and audits associated with document controls procedures. Provide training to project personnel regarding document control and record retention policies, procedures, and project management system use. Quality control all document‑control deliverables prepared by support staff. Mentor Document Controls Specialists I, II, and III if applicable and may serve as technical lead. Assist with contract administration activities, including supporting change‐order development and validating contractor payment applications. Monitor project budgets, expenditures, and forecasts; produce reporting and analysis to support project and business leadership. Ensure compliance with regulatory, client, and company requirements, including DBE participation and documentation standards. Qualifications Associate's degree in a relevant field and 9 years of relevant experience, orin lieu of a degree, 11 years of project controls and/or technical administrative support experience. Preferred Qualifications One or more certifications: CSI Construction Documents Technologist (CDT) or equivalent, PMI Project Management Professional (PMP) or equivalent. Experience in 2 or more phases of the project lifecycle (e.g., predesign, design, procurement, construction, post‑construction). Experience working as a client’s PM/CM agent or as part of a design‑build contractor, or equivalent design and construction experience. Location Bellevue, WA (Seattle) Pay Range Greater Seattle, WA Metro Area: $126,942.61 – $198,551.24 (estimated). National range: $110,384.86 – $215,816.57 (estimated).
