Software Asset Management Analyst

Job Responsibilities

Software Inventory & Asset Tracking

• Maintain and update the software asset database in ServiceNow, ensuring accurate and complete records of software installations, licenses, and deployments.
• Track software discovery data and reconcile hardware and software inventories.
• Identify discrepancies, unauthorized installations, and gaps in asset records.
• Maintain accurate software asset information across the organization.

Licensing Compliance & Management

• Monitor software license agreements, entitlements, and compliance status.
• Conduct regular software license audits and reconcile license consumption against purchased entitlements.
• Identify licensing risks, compliance gaps, and opportunities to optimize software usage and spending.
• Prepare software asset management and licensing compliance reports for management review.

Procurement & Vendor Management

• Support software procurement activities, including reviewing vendor quotes and licensing requirements.
• Assist with evaluating and negotiating software licensing terms to optimize costs and value.
• Maintain vendor contracts, licensing agreements, and renewal schedules.
• Communicate with software vendors regarding license renewals, support agreements, and related issues.

ServiceNow Administration & Reporting

• Configure and maintain Software Asset Management (SAM) and IT Asset Management (ITAM) functionality within ServiceNow.
• Create and maintain reports, dashboards, and automated workflows.
• Generate SAM metrics and provide reporting on license utilization, compliance, and cost optimization opportunities.
• Provide data-driven insights to technical and business stakeholders.

Ticket Management & Support

• Process and resolve software asset management service requests and incidents through ServiceNow.
• Address asset, licensing, and software-related inquiries in a timely manner.
• Prioritize tickets based on urgency and business impact.
• Follow established SLAs, escalation procedures, and support processes.

Process Improvement & Documentation

• Document software asset management processes, procedures, and best practices.
• Identify opportunities to improve SAM processes, data accuracy, and operational efficiency.
• Develop and maintain documentation to support consistent processes and knowledge sharing.
• Collaborate with stakeholders to implement process improvements.

Required Qualifications & Requirements

• High school diploma or GED; equivalent combination of education and experience may be considered.
• 2 3 years of experience in Software Asset Management (SAM), IT Asset Management (ITAM), or a related field.
• Hands-on experience with ServiceNow , particularly Software Asset Management (SAM) and/or IT Asset Management (ITAM) modules.
• Strong understanding of software licensing models, license entitlements, compliance, and vendor agreements .
• Experience performing software license audits, reconciliation, and compliance analysis.
• Proficiency with Microsoft Excel and data analysis.
• Experience with software inventory, asset tracking, procurement, renewals, and vendor management.
• Strong analytical and problem-solving skills with the ability to identify discrepancies and licensing risks.
• Excellent organizational and time-management skills with the ability to manage multiple priorities and deadlines.
• Strong written and verbal communication skills.
• Ability to prepare clear reports, documentation, and presentations for technical and non-technical stakeholders.
