JUDICIAL SUPERVISOR

The purpose of this position is to supervise the day-to-day operations of an assigned court, including supervising staff, coordinating special projects, conducting training, providing management support, and producing and reviewing reports. An incumbent in this position serves at the pleasure of the Judge or other appointing authority. Responsibilities Supervises, directs, and evaluates assigned staff; develops and oversees employee work schedules to ensure adequate coverage and control; compiles and reviews timesheets; approves/processes employee concerns and problems and counsels or disciplines as appropriate; assists with or completes employee performance appraisals; directs work; acts as a liaison between employees and management; and trains staff in operations, policies, and procedures. Organizes, prioritizes, and assigns work; prioritizes and schedules work activities in order to meet objectives; ensures that subordinates have the proper resources needed to complete the assigned work; monitors status of work in progress and inspects completed work; consults with assigned staff to assist with complex/problem situations and provide technical expertise; provides progress and activity reports to management; and assists with the revision of procedure manuals as appropriate. Ensures compliance with assigned court rules, local policies, and statutory requirements; implements updates as needed; oversees implementation of policies and procedures to streamline processes, reduce inefficiencies, and implement a more organized workflow. Supervises and participates in the filing of court documents as required; supervises the collection of fines and fees as required; receives reports of funds collected and received; prepares deposits; supervises and participates in preparation and maintenance of court calendars. Generates and reviews a wide variety of reports related to daily operations and activities in order to audit work performed by subordinates; ensures accuracy of payroll deadlines; reviews, verifies, and approves daily functions that are complex in nature. Processes a variety of documentation associated with department/division operations, within designated timeframes, and per established procedures; receives and reviews various documentation, including payroll reports, personnel reports, employment documents, status reports, and budget confirmations; reviews, completes, processes, forwards, or retains as appropriate; prepares or completes various forms, reports, correspondence, and other documentation, including leave reports, payroll reports, and employee performance appraisals; compiles data for further processing or for use in preparation of department reports; and maintains computerized and/or hardcopy records. Operates a personal computer to enter, retrieve, review, or modify data, utilizing word processing, spreadsheet, database, presentation, Internet, e‑mail, or other software; and operates general office or other equipment as necessary to complete essential functions. Communicates with supervisor, other employees, County department heads, outside agencies and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems. Performs other related duties as assigned. Education and Experience Requires an associate degree in administrative services, business, human resources, or related field; and three (3) years of related experience providing administrative support in a court or legal environment and experience in the supervision of lower level staff, or equivalent combination of education and experience. Licenses or Certifications Must possess and maintain a valid Georgia driver’s license. Must possess and maintain valid Notary certification. Special Requirements None. Knowledge, Skills, and Abilities Knowledge of local government operations, juvenile court related programs, policies and plans, and modern office practices and procedures. Knowledge of Microsoft Word, Excel, PowerPoint, and other similar programs. Skill in the use of computers and software applications related to the essential functions of the job. Skill in effective communication, both verbally and in writing. Ability to meet and deal with employees and the public in an effective and courteous manner. Ability to get along with others, and work effectively with the public and co-workers. Ability to work flexible hours, including evening meetings. Ability to multi-task and work within deadlines. Ability to deal with confidential and sensitive matters. Ability to work with and process payments for accounts within the budget and department. Ability to use computers for data entry, word processing, and accounting purposes. Ability to operate a copying machine. Physical Demands The work is light work which requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. Requires mental acuity including the ability to make rational decisions through sound logic and deductive processes, the ability to express ideas by means of the spoken word and have close visual acuity.
