Legal Administrative Assistant

$37.5 - $53.18 per hour

Summary Legal Administrative Assistant (LAA) provides a wide range of administrative and clerical support to attorneys and legal teams, collaborating with Legal Support Assistants (LSAs), Legal Executive Assistants (LEAs), and attorneys on assignments. The role requires high organization, attention to detail, and the ability to manage multiple tasks simultaneously in a fast‑paced environment. Responsibilities Provides practice‑specific support to multiple associates, partners, and other attorneys, leveraging knowledge of unique practice tasks and prioritizing work accordingly. Drafts, edits, and proofreads legal documents, communications, files, or presentations to ensure accuracy. Oversees the maintenance and organization of electronic and paper filing systems within the firm’s DMS/repositories, ensuring all work products are accessible and up‑to‑date. Collaborates with other LAAs or LEAs to complete more complex projects or provide administrative support for assigned attorneys. Provides mentorship, guidance, and delegation to LSAs who assist with projects as appropriate. Provides key status updates on projects to any assigned attorneys, offering or delegating direct‑action support in the event of escalation. Organizes and monitors assignments within the firm’s workflow tool, ensuring that administrative tasks are properly allocated and completed on time. Manages projects that include time entry and expense reimbursements. Oversees billing matters, including approval forms and correspondence, ensures prebills are processed accurately and timely, acts as proxy attorneys to address billing questions, and ensures final bills are delivered on schedule with follow‑up as requested. Serves as a trusted advisor for associates, partners, and other attorneys. Handles confidential or sensitive matters with discretion, promoting professionalism and exceptional service in all interactions with attorneys, clients, and other business professionals. Desired Skills Effective communication in the native language of the region via e‑mail or voice. Initiative to enhance existing skills and learn additional skills. Prior experience working with Microsoft Office and legal software such as iManage, Aderant, DocXTools, Innova, etc. Ability to adapt to application upgrades and AI‑powered tools for document production, review, and case research. Willingness to learn new skills and adapt to evolving needs of the attorney’s practice. Flexibility within a fast‑paced environment, ensuring deliverables align with firm best practices, and openness to constructive feedback. Collaborative mindset when supporting LSAs as appropriate. Ability to work well under pressure and maintain a positive, productive attitude. General familiarity with legal terminology, documentation, and best practices for law firms. Strong attention to detail and excellent problem‑solving skills for quick decision making. Prior workflow‑management experience. Proficiency with virtual collaboration tools such as Zoom and Microsoft Teams to communicate with internal and external resources. Minimum Education High School Diploma or GED. Preferred Education Bachelor’s Degree in legal studies, business administration, or a related field. Minimum Years of Experience Two (2) years’ experience working in a legal setting under the supervision of a licensed attorney or office administrator, or in a similar role. Essential Job Expectations Effectively communicate verbally and in writing with clients, lawyers, business professionals, and third parties. Produce deliverables, answer phone calls, and reply to correspondence efficiently and responsively. Provide timely, accurate, and high‑quality work products, meeting deadlines and expectations. Foster positive work relationships and comply with all firm policies and practices. Engage in physical and sedentary activities, including prolonged computer work, digital/virtual conference calls, and meetings as needed. Work under pressure and manage competing demands in a fast‑paced environment. Perform all other duties, tasks or projects as assigned. Compensation Hourly, ranging from $37.50 to $53.18 depending on geographic location. Non‑exempt positions pay overtime in accordance with applicable laws.
