Leasing Consultant

The Leasing Consultant is responsible for coordinating all activities related to apartment rentals, move‑ins, move‑outs, and lease renewals. This position is responsible for interacting directly with prospective and current residents to achieve maximum occupancy and ensure resident retention and client satisfaction. The Leasing Consultant is also responsible for assisting the Property Manager and Assistant Manager as directed. Essential Duties and Responsibilities Perform all tasks related to renting apartment homes, including generating traffic, responding to telephone and internet inquiries, greeting prospective residents, touring prospective residents throughout the property, qualifying prospects, and closing the sale by obtaining a rental application and completing all necessary paperwork. Visually inspect the entire property (office, models, compactor, vacancies, and amenity areas) daily for cleanliness; inspect and touch up model units; communicate related service needs to the Property Manager. Demonstrate community and apartment/model knowledge and apply product knowledge to clients’ needs by communicating features and benefits; close the sale. Process rental applications, obtain required documents, schedule move‑ins, and prepare all lease files. Maintain lease files per policy and procedure. Accurately record traffic from all sources daily and convert a minimum of 30% of total traffic to leases. Follow up with prospective residents, including a phone call within 24 hours and a minimum of two additional follow‑up contacts. Assist with planning and implementation of the community marketing plan to generate traffic. Conduct outreach marketing visits weekly; maintain leads and contacts. Pick up trash off the ground, operate the trash compactor when necessary, carry cleaning supplies, vacuum as needed, and clean apartments to bring them up to resident‑ready standards. General Office/Administrative Responsibilities Record resident service requests accurately and in detail to assist the maintenance team in the timely completion of all requests. Schedule and inspect apartments for move‑in. Receive and acknowledge resident notices and prepare files. Assist in the lease renewal procedure: complete lease renewal printouts, submit to the manager for approval, contact each resident by phone at least 90 days before the end of their initial term, send renewal letters to those unreachable by phone, and type new leases and all applicable addendums. Keep a market survey of competitor rates up to date at least monthly and visit competitors three times a year; keep all filing current. Schedule guest apartment and clubhouse rentals. Operate the office alarm system in conjunction with opening and closing the office. Deliver a thorough move‑in presentation to new residents. Customer Service Responsibilities Communicate clearly to residents, both verbally and in writing, using proper grammar and spelling. Carry and deliver boxes, flowers, newsletters, correspondence, etc., to residents’ apartments. Maintain a clean and neat appearance; adhere to Pioneer’s Dress Code and Personal Hygiene Policy at all times. Demonstrate customer service skills by treating residents, coworkers, supervisors, and vendors with respect, answering questions in a calm and open manner, responding sensitively to concerns/complaints, and exhibiting a sense of urgency. Company Responsibilities Assist the Property Manager and Assistant Manager with other tasks as required. Comply with Pioneer Property Management policies and procedures. Embrace and execute the vision, mission, and beliefs of the Company. Be punctual and present at work when scheduled. Be flexible with the work schedule, including availability to work weekends, evenings, and/or holidays. Education and Experience Required High school diploma required; college degree preferred. Minimum of one year of previous customer service and/or sales experience preferred. Minimum of one year of previous residential leasing experience preferred. Skills and Requirements Excellent written and verbal communication skills providing effective communication with residents. Excellent interpersonal skills to communicate sensitively with all levels of management. Sensitivity to confidential matters is required. Ability to cope with and defuse situations involving angry or difficult people. Ability to use general office equipment, such as telephone, fax machine, printer, copier, and key‑track system. Computer software experience, including MS Word, MS Excel, MS PowerPoint, MS Outlook, and YARDI. Basic understanding of Federal, State, and local Fair Housing laws. Ability to work independently and prioritize effectively in a fast‑paced environment with a strong sense of urgency. Scheduling Required to maintain a regular schedule which may require working overtime, weekends, and non‑traditional holidays. May be required to be on‑call and aid during staffing deficiencies on‑site. Physical Demands and Work Environment Sedentary work typically in an office environment. Ability to lift, push, and pull up to 25 pounds occasionally. Stooping, crouching, reaching, and standing occasionally. Talking, hearing, and seeing with close visual acuity frequently. Ability to walk around the property several times daily (on uneven surfaces and/or climb several flights of stairs). Driving a golf cart on the property may be required. Ability to work under minimal to moderate supervision. Ability to tolerate stressful situations.
