Academic Personnel Analyst

Position Summary Under the general direction of the HR & AP Director and the Senior Director of Personnel & Operations, the Academic Personnel Analyst supports personnel and payroll functions for the School of Education and Information Studies. The analyst transacts all HR and payroll functions for academic employees, including recruitment, appointment, onboarding, and payroll processing. The role collaborates with internal and external departmental offices such as the Academic Personnel Office (APO) and Dashew Center to obtain appointment information and authorization for actions. It ensures accurate and timely processing of payments and personnel actions, maintains current personnel information, implements administrative and operational procedures, develops departmental resources and trainings, and creates internal staffing reports. Responsibilities Support and transact all HR and payroll functions for academic employees, including recruitment, appointment, onboarding, and payroll processing. Collaborate with internal and external offices to obtain appointment information and authorization for actions. Ensure timely and accurate processing of payments and personnel actions to comply with campus policy and federal regulations. Maintain accurate personnel information and assist in developing administrative and operational procedures. Develop departmental resources and training materials. Create internal staffing reports for various uses. Analyze and process academic personnel/payroll data, manage faculty recruitment, and oversee visiting academic appointments. Interpret policy, make independent judgments, prioritize work, and maintain confidentiality. Qualifications 2 to 5 years of experience working in an administrative department with payroll responsibilities within the University System. Knowledge of University Academic, Personnel, and Payroll policies, procedures, and organizational structure. Knowledge and experience in using UCLA systems including UCPath, Online Financial Systems Reports (OFSR), and Campus Data Warehouse (CDW). Knowledge of OPUS and UC Recruit. Excellent written, verbal, and editing skills. Excellent interpersonal skills. Ability to make oral, group, and one-on-one presentations to provide information, explain policies, and answer questions. Ability to prioritize and adjust a heavy workload to meet deadlines. Ability to work independently with minimal supervision, using initiative and resourcefulness to perform duties amid interruptions and changing priorities. Ability to work as a team using the same principles. Demonstrated ability to maintain confidentiality. Acute attention to detail. Advance organizational skills to maintain materials and information systematically. Mathematical and quantitative skills to calculate salaries, payroll documents, formulas, expense transfers, leave accruals, payroll changes, and financial analysis. Education & Certifications Bachelor's Degree or equivalent education & experience. Special Conditions for Employment Background Check: Continued employment is contingent upon the completion of a satisfactory background investigation. Live Scan Background Check must be completed prior to the start of employment. Age Requirement: Must be 18 years or older. CANRA: The position is designated as a mandatory reporter under CANRA; the employee must sign the required statement. 5% Domestic.
