Deposit Operations Specialist

*This is a Banking Position*

The Deposit Operations Specialist is responsible for providing day-to-day operational support to the Deposit Operations Department, with a primary focus on exception processing, account maintenance, electronic item processing (EIP), and daily and monthly reconciliations. This position ensures transactions and account activity are processed accurately, exceptions are properly resolved, and operational records remain balanced and up to date.

The position works closely with internal departments and supports audit and regulatory requests while maintaining strong attention to accuracy, risk management, customer service, and regulatory compliance. The Specialist will also provide backup support to other Operations Specialists and assist with departmental projects as needed.

Job Responsibilities

• Perform daily EIP procedures, including chargebacks, NSF items, outgoing returns, credit backs, non-posted items, and ACH returns.
• Process check adjustments, Notices of Change, and Large Item Notifications.
• Complete daily and monthly General Ledger (GL) and Helm Bank account reconciliations.
• Perform daily ESC reconciliations for DDA, savings, cash teller, CDs, and loan accounts.
• Report reconciliation findings to BSA by the first business day of each month.
• Enter daily General Ledger and customer account transactions accurately and in a timely manner.
• Review account maintenance activity and verify that requested changes have been properly processed in the system.
• Perform quality control reviews of account changes completed by other team members.
• Provide backup support for the processing and filing of Exoneration requests.
• Serve as a backup for other Operations Specialists as needed.
• Screen incoming and outgoing wire transfers for OFAC and EDD requirements.
• Assist with operational exceptions, investigations, and reconciliation issues.
• Respond to requests and provide documentation for auditors and federal examiners.
• Assist with special projects and process-related initiatives within the Deposit Operations Department.
• Maintain accurate records and documentation related to operational processing and reconciliations.
• Work collaboratively with team members to maintain efficient and reliable operational processes.
• Support continuous process improvement and maintain a hands-on approach to assigned responsibilities.
• Follow established regulatory, risk management, and operational control procedures.
• Maintain a customer-focused approach when resolving account and transaction-related issues.
• Perform other duties and operational responsibilities as assigned.

Qualifications

• High school diploma or equivalent required.
• 2+ years of banking, customer service, and wire transfer experience preferred.
• Minimum of 1 year of operations, customer service, and general banking experience.
• Bilingual in English and Spanish , with the ability to fluently speak, understand, read, and write both languages.
• Advanced proficiency in Microsoft Office.
• Strong attention to detail and accuracy when processing transactions and reconciliations.
• Ability to identify discrepancies, investigate issues, and follow established procedures to resolution.
• Strong organizational and time-management skills.
• Ability to work collaboratively while also taking ownership of assigned responsibilities.
• Ability to adapt to changing regulations, procedures, and operational requirements.
• Strong problem-solving and analytical skills.
• Ability to maintain confidentiality and exercise sound judgment when handling banking transactions and customer information.
