Job Summary

The Office of Contracts and Grants (OCG) within the Research & Innovation Office (RIO) seeks an Information Technology (IT) Specialist to support OCG through the effective use of automation and technology solutions.

This position serves as the bridge between OCG staff and technology solutions. The incumbent will work closely with OCG staff, leadership, campus partners, and IT staff to find opportunities to streamline workflows, reduce manual effort, create transparency, and increase operational efficiency. The position reports to the Associate Director, Organizational Effectiveness in OCG and RIO, and is part of the Organizational Effectiveness Team.

The position will evaluate, implement, and maintain new technologies, including workflow tools, automation platforms, sponsored project management solutions, reporting dashboards, document management systems, and artificial intelligence-enabled tools.

This position will also coordinate technology-related projects, helping define requirements, manage implementation timelines, document decisions, communicate progress to partners, identify risks, and support successful adoption of new tools and processes.

The successful candidate will combine technical skills with strong customer service and business process analysis capabilities to help modernize OCG processes and improve the experience of faculty, staff, and campus partners.

Who We Are

The mission of the Office of Contracts and Grants (OCG) is to help CU Boulder faculty, staff, and students obtain and manage external funding for sponsored projects throughout the lifecycle of an award.

The Office of Contracts and Grants (OCG) is the University of Colorado Boulder's Authorized Organizational Representative (AOR) and is the Office of Record for the administration of sponsored projects for the CU Boulder campus. As the authorized representative, OCG submits proposals, and negotiates and accepts sponsored research and service agreements, non-disclosure agreements and material transfer agreements on behalf of the Board of Regents.

What Your Key Responsibilities Will Be

Automation and Workflow Development

• Identify OCG process challenges and improvement opportunities.
• Translate business needs into technical solutions.
• Recommend technology solutions that improve sponsored project administration, efficiency, transparency, and service.
• Develop and maintain automation to reduce repetitive administrative work.
• Support configuration and implementation of electronic workflows, notifications, routing processes, dashboards, and user-facing tools.
• Assist with system integrations and data exchange between campus applications.
• Test, evaluate, and support implementation of new technology solutions, including AI, to improve OCG operations and researcher support.
• Assist in evaluating user experience and finding opportunities to simplify interactions with OCG technology solutions.

Technology Project Coordination

• Coordinate technology initiatives supporting OCG staff.
• Track project timelines, tasks, progress of work, risks, and dependencies.
• Communicate project progress and implementation updates to partners.
• Maintain project documentation, meeting notes, action items, and implementation plans.
• Assist in ensuring projects meet business objectives and user needs.

Training and Documentation

• Coordinate documentation and training materials.
• Provide individual and group training on technology tools.
• Serve as a resource to OCG staff regarding system functionality and standard processes.

What You Should Know

• This position will be either remote or hybrid depending on the candidate's needs.
• This position is fully funded through 1 year, with a second year dependent on funding.
• We are unable to offer visa sponsorship for this position.

What We Can Offer

• The annual salary range is $62,400 - $70,000.

What We Require

• Bachelor's degree in information technology, Computer Science, Information Systems, Business Analytics, Public Administration, or related fields.

What We Would Like You to Have

• Experience working with InfoEd or similar electronic research administration, award management, workflow, or compliance systems.
• One year of professional experience supporting business applications, data systems, process improvement initiatives, or technology solutions.
• Experience gathering user requirements and translating them into functional system requirements.
• Experience supporting implementation or administration of enterprise business applications.
• Experience with workflow automation platforms such as Microsoft Power Automate, Power Apps, SharePoint, ServiceNow, Smartsheet, or similar tools.
• Experience gathering business requirements and documenting business processes.
• Experience supporting electronic document management or contract management systems (such as Colligo).
• Experience supporting administrative or business operations in a higher education, research, government, or professional services environment.
• Experience working with databases and writing basic SQL queries.
• Experience supporting users through training, documentation, and technical assistance.
• Familiarity with artificial intelligence tools and their practical application to administrative workflows.
