Job Description Starting Date: Aug 4, 2026 Position: Campus Compliance Data Clerk Department: Silbernagel Elementary School and Dunbar Middle School Wage/Hour Status: Non‑exempt Immediate Supervisors: Campus Principal, Campus Compliance Facilitator, District Compliance Coordinator, Executive Director of Special Programs Pay Grade: Per Compensation Manual Days Employed: Per Compensation Manual Position Summary: Responsible for all data entry for students in special programs (Special Education, Section 504, Bilingual/ESL, Response to Intervention). Qualifications Education / Certification: High School Diploma or Certificate of High School Equivalency. Special Knowledge / Skills: Self‑directed Ability to work cooperatively and communicate effectively with school personnel, colleagues, parents, and the general public. Demonstrate computer literacy with word processing, database, and related software. Typing, filing, and record‑keeping skills. Knowledge of special program policies and procedures. Time‑management and organizational skills. Professional attitude under stress. Bilingual (desired). Experience: A minimum of one‑year work experience. Major Responsibilities Assist with documentation for district special programs (Special Education, Section 504, Bilingual/ESL, RtI). Maintain both paper and electronic records per district requirements. Maintain student confidentiality verbally and in writing. Use district online platforms (Frontline, Skyward, Google Suite) to document student records, parent contacts, other records, and reports for special program meetings. Manage multiple calendars to schedule meetings for required members per district, state, and federal timelines and guidelines. Arrange, support, and communicate scheduled meetings and other paperwork needed for special program meetings with parents and staff. Distribute information (print, call, email) to parents, teachers, administrators, and other required members regarding upcoming and scheduled meetings. Collect documents and signed forms from parents after meetings, scan, file, and document information in online platforms and student data files. Manage and maintain student data files housed at the campus, ensuring appropriate filing of paperwork and communication for special education and Section 504 services. Coordinate with the district office regarding outside requests for records, transfer of records to another campus, and storage of records at the ESC. Communicate and collaborate with campus principal, compliance facilitator, Section 504 administrator, LPAC administrator, and other required staff regarding special education, Section 504, Bilingual/ESL, and RtI matters. Pull reports and data as requested by campus or district administrators regarding student data for the special programs. Attend training required for district, state, and federal data entry and records‑management guidelines for the special programs. Perform typical secretarial and clerical duties: answering calls, taking messages, scheduling meetings, making copies, handling mail, greeting parents/visitors, sending memos, tracking paperwork, coordinating with outside agencies, filing, and requesting materials. Gather information and communicate effectively with parents and staff, respond to parent calls, and direct them to campus or educational services as needed. Follow the work calendar set by the district and use the time‑clock system daily. Physical & Mental Demands Tools / Equipment Used: Standard office equipment including computer and peripherals. Motion: Frequent walking and reaching, frequent standing; kneeling/squatting, bending/stooping, pushing/pulling, and twisting. Lifting: Frequent light lifting and carrying (less than 15 pounds); heavy lifting (45 pounds or over). Environment: Work inside and outside (exposure to sun, heat, cold, and inclement weather); exposure to noise; exposure to biological hazards (body fluids, bacteria, communicable diseases). Mental Demands: Work with frequent interruptions; maintain emotional control under stress; interaction proactively with students, staff, parents, and the community; verbal and written communication. Professional Dress: Clean and neat; appropriate for assignment and as approved by the Superintendent. Visible body piercings (except earrings) not allowed during work hours. Evaluation Performance evaluated annually. Job Requirements High School or Trade School degree preferred. Citizenship, residency, or work visa required.
