Facilities Manager

Facilities Manager (Critical Infrastructure & Operations) On-site — New York City, NY

Our client is seeking a detail-oriented, proactive, and people-focused Facilities Manager to own the maintenance, building operations, and infrastructure performance across New York City facilities portfolio. This role is responsible for ensuring maximum uptime for mission-critical infrastructure, seamless day-to-day office operations, and an exceptional environment for our internal workforce. You will report to the Global Head of Real Estate & Facilities.

Built on complete ownership and leadership, this position drives local facilities strategy, manages internal technicians and third-party vendors, and serves as an integral operational stakeholder in the design, build, and operational transition of a new large-scale, Class A office. We operate our workplaces exclusively for our internal teams—focusing entirely on operational reliability, high-performance environments, and employee experience.

Key Responsibilities

Critical Infrastructure & Operations

• System Uptime & Reliability: Own the daily performance and availability of all critical facility systems, including UPS, Client/EPMS, backup diesel generators, transfer switches (ATS/STS), and specialized cooling/HVAC systems (CRAC/CRAH, chillers).
• Preventative Maintenance: Direct preventative and corrective maintenance programs—including routine walkthroughs, load testing, emergency drills, and failover testing—to eliminate operational downtime and maximize asset lifespans.
• Emergency Response: Act as the primary escalation lead during critical incidents, driving rapid remediation and leveraging maintenance telemetry to continuously elevate system health.
• Compliance & Safety: Maintain strict commercial compliance with FDNY regulations, OSHA standards, NYC Local Laws, and building life-safety codes. Oversee complete documentation for asset logs, inspections, and standard operating procedures (SOPs).

Team Leadership & Vendor Oversight

• Team Development: Build, lead, and mentor an internal/external team of supervisors, engineers, and facilities technicians—fostering a culture of accountability, continuous learning, and safety.
• Vendor & Contract Management: Lead vendor relationships, RFP processes, contract negotiations, and service consolidation while enforcing measurable performance SLAs for all external contractors.
• MOPs & SOP Control: Schedule and supervise outsourced maintenance, capital infrastructure upgrades, and system commissioning in strict alignment with approved Method of Procedures (MOPs) and change-management protocols.

Strategic Buildout, Budgeting & Integration

• Flagship Project Integration: Actively participate in the design, engineering, and operational transition of a new large-scale Class A office buildout in NYC to ensure a seamless handover to facilities operations.
• Financial Management: Manage the regional facilities operational budget and CAPEX planning; evaluate automation and smart-building efficiencies to develop scalable SOPs.
• Cross-Functional Alignment: Partner with Workplace Services, IT Infrastructure, Security, Operations, and Legal teams to ensure power, cooling, and internet redundancy for critical trading/technology operations.
• Hands-on Service Delivery: Oversee the ticketing desk to prioritize employee requests, coordinate internal office moves, and provide hands-on assistance as needed for minor site fixes, installations, or site logistics.

Qualifications & Requirements

Experience & Leadership:

• 10-15+ years of progressive experience in facilities management, building operations, or critical infrastructure within high-tech, financial, or mission-critical commercial environments.
• Direct experience operating a 50,000+ sq ft, Class A or B commercial facility in New York City, including deep base-building coordination, life-safety systems, and MEP oversight.
• 2-3+ years of direct people management experience leading high-performing facilities teams.

Technical Expertise & Compliance:

• Robust technical knowledge of enterprise electrical distribution, UPS topologies, high-density cooling/HVAC, fire suppression systems, and transfer switches.
• Solid understanding of NYC commercial building codes, FDNY requirements, Local Law compliance, and energy-efficiency standards.
• Familiarity with enterprise Building Management Systems (Client/EPMS) and ticket tracking tools (e.g., Jira, Confluence, or equivalent).
• Basic understanding of IT infrastructure support requirements within fast-paced financial or trading environments.

• Excellent analytical problem-solving skills; comfortable working autonomously in fast-paced, complex environments.
• Clear communicator capable of relaying technical impacts and building updates to non-technical staff and executive stakeholders.
• Willingness to work staggered shifts, off-hours, and weekends as needed, with on-call availability during facility emergencies.

Preferred Qualifications

• Professional Facilities Management certifications (e.g., CFM, FMP, IFMA, OSHA 30, or FDNY F-89/T-89/S-95 certificates).
• Bachelor's degree in Engineering, Facilities Management, or a related field.
• Prior experience operating facilities within quantitative trading, investment banking, or high-density technology firms.
