Billing & Reconciliation Specialist

Locations: Washington, DC; New York, NY; Austin, TX We are a growing organization innovating our revenue cycle operations — and this role is at the center of it all. The Billing Specialist is an execution-focused role that directly supports the full scope of our revenue operations. This individual will work closely with the Director of Business Operations and Director of Revenue Operations to ensure that cash pay invoicing, contracting, and insurance claims are accurate, timely, and reimbursed in full. The ideal candidate is organized, detail-oriented, customer service oriented, and comfortable operating independently in a fast-moving environment. Key Responsibilities Process and manage all cash pay billing cycles, ensuring timely and accurate invoice generation for patients and clients. Perform daily, weekly, and monthly account reconciliations to ensure financial records remain accurate and up to date. Manage extension requests and contracts, including communication with clients and guarantors regarding billing questions and account needs. Track outstanding balances and conduct proactive follow-up on unpaid invoices. Coordinate with clinical and administrative teams to resolve billing discrepancies and obtain missing information. Maintain organized and accurate records within billing systems and electronic health record (EHR/EMR) platforms. Generate regular billing and revenue reports for leadership review. Assist with audits and ongoing billing process improvement initiatives. Support the build-out of insurance billing operations, including claim coding, claim scrubbing, submissions, A/R tracking, and reporting. Qualifications Minimum 1–2 years of experience managing accounts receivable. Experience with account reconciliation, collections, and payment processing. Exceptional organizational skills with strong attention to detail. Proficiency with QuickBooks, DocuSign, and Excel. Strong written and verbal communication skills. Innovative mindset with an interest in improving systems and processes, particularly through technology. Strong time management and prioritization skills. Self-starter with the ability to operate independently in a fast-paced environment. Preferred Qualifications Experience with medical billing platforms such as CollabMD and Kipu. Certified Professional Biller (CPB) or Certified Medical Reimbursement Specialist (CMRS) designation preferred.
