Receptionist

This position is located in the Administrative Services Bureau. Duties:

The Office of the New York State Attorney General (OAG) is seeking a professional and service-oriented Receptionist for the New York City Office. The Receptionist will maintain a courteous and welcoming office environment and will, in most instances, serve as the first point of contact for OAG guests and visitors. The incumbent will also coordinate meetings between OAG staff and their guests, with a primary responsibility of assisting with the management of calendars for the OAG conference center.

• Answer and direct incoming telephone calls.

• Greet visitors and connect them with their host.

• Manage scheduling for the OAG conference center, which includes sixteen (16) conference rooms with various technological capabilities.

• Maintain a professional and presentable reception area.

• Ensure all conference rooms are properly set up and maintained.

• Troubleshoot minor printer and equipment issues.

• Place catering orders for meetings and events when requested.

• Assist staff with inquiries and escalate issues as necessary.

• Support meeting setup and breakdown.

• Order front desk and office supplies as needed.

• Create and submit guest registration requests through the building's secure access platform.

• Perform other administrative duties as assigned.

• Strong interpersonal and customer service skills, with a professional and welcoming demeanor.

• Clear written and verbal communication skills, along with the ability to work effectively with staff, visitors, and external guests.

• Excellent organizational skills and attention to detail.

• Ability to manage multiple priorities efficiently.

• Proficiency with Microsoft Office applications and scheduling tools preferred.

Minimum Qualifications:

NY HELPS:

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

NON-COMPETITIVE QUALIFICATIONS:

There are no minimum education or experience requirements for this title.

Reachable on the Department of Civil Service Eligible list for Beginning Office Assistant.

For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller (OSC) in accordance with NYS Civil Service Law, OSC Payroll rules and regulations, and negotiated union contracts.

The Office of the NYS Attorney General (OAG) cannot provide sponsorship for work authorization. Candidates need to be authorized to work in the United States to be employed by this agency.
