- Review project contracts, proposals, specifications, drawings, scope of work, and customer requirements before project execution.
- Develop project plans, schedules, budgets, and labor projections to support successful project completion.
- Serve as the primary contact for customers during project execution and maintain professional, responsive communication.
- Conduct project kickoff meetings and coordinate internal resources, field personnel, vendors, and subcontractors.
- Coordinate the ordering, delivery, tracking, and availability of required materials, equipment, and services.
- Schedule field labor, subcontractors, inspections, testing, and other project activities.
- Monitor project progress to ensure work is completed safely, on schedule, within budget, and in accordance with quality standards.
- Work closely with field supervisors, technicians, and installers to clarify scope, address job-site needs, and resolve project issues.
- Conduct or participate in job-site visits, progress meetings, customer meetings, and closeout meetings as needed.
- Identify potential project risks, schedule impacts, cost overruns, scope gaps, or customer concerns and develop solutions promptly. In addition, identify areas to improve upon the budget and schedule - beat the sheet mentality.
- Manage change orders, including identifying scope changes, preparing pricing, obtaining approvals, and tracking associated costs and revenue.
- Review labor hours, material usage, subcontractor costs, and other project expenses to maintain financial control of assigned projects.
- Track project billing milestones and coordinate accurate, timely invoicing with accounting and administrative staff.
- Prepare and maintain project documentation, including schedules, meeting notes, correspondence, change orders, purchase orders, submittals, closeout documents, and project records.
- Ensure required permits, inspections, testing, documentation, and customer deliverables are completed as required.
- Coordinate project closeout activities, including final inspections, punch-list completion, closeout documentation, final billing, and customer follow-up.
- Maintain awareness of applicable safety requirements and promote safe work practices throughout the project.
- Provide regular project status updates to leadership, including schedule performance, financial status, risks, changes, and customer concerns.
- Build strong relationships with customers, vendors, subcontractors, and internal team members.
- Identify opportunities to improve project execution, profitability, communication, efficiency, and customer satisfaction.
- High school diploma or GED required; associate degree, bachelor's degree, technical training, or equivalent industry experience preferred.
- Five or more years of experience in project management, construction management, fire protection, life safety, mechanical, electrical, or a related industry preferred.
- Demonstrated experience managing project schedules, budgets, labor, materials, customer communication, and project documentation.
- Ability to read and interpret contracts, proposals, specifications, drawings, plans, and scopes of work.
- Strong understanding of project financial management, including budgeting, job costing, labor tracking, material costs, change orders, and billing.
- Strong organizational and time-management skills with the ability to manage multiple projects, deadlines, and priorities.
- Excellent verbal and written communication skills.
- Strong customer-service skills and the ability to maintain positive, professional relationships with customers and project partners.
- Ability to lead, coordinate, and communicate effectively with field personnel, vendors, subcontractors, and internal departments.
- Strong problem-solving, decision-making, negotiation, and conflict-resolution abilities.
- Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and project scheduling tools.
- Ability to learn and effectively use company ERP, project-management, estimating, scheduling, and document-control systems.
- Ability to work independently, take ownership of assigned projects, and remain accountable for results.
- Maintains a positive, professional, and solution-oriented attitude in a fast-paced and changing work environment.
- Demonstrated attention to detail, accuracy, follow-through, and commitment to quality.
- Valid driver's license and ability to travel to job sites, customer locations, or project meetings as needed.
- Experience in the fire protection, fire alarm, sprinkler, special hazards, or life-safety industry.
- Knowledge of applicable codes, standards, inspections, and permitting requirements relevant to the work being managed.
- Experience with estimating, purchasing, subcontractor management, and contract administration.
- PMP certification, construction-management certification, NICET certification, or other relevant industry credentials.
- Familiarity with AutoCAD, AutoDesk, Bluebeam, Procore, Smartsheet, Microsoft Project, or similar project-management and document-review software.
- Ability to lift up to 50lbs with or without reasonable accommodation.
- Regular driving, bending, reaching, climbing, and walking.
