Recruiting Coordinator (Contract Position)

Job Description Summary Works closely with a team of Talent Sourcers and Recruiters to provide operational/administrative support for Transamerica’s hiring process and candidate experience, including interview scheduling coordination, candidate travel logistics, event coordination, and job advertising. This role requires excellent organizational skills, confidentiality, and professionalism. Responsibilities Coordinate complex phone and in‑person interview schedules with recruiters, hiring managers, and candidates. Schedule phone screens, video teleconferences, on‑site meetings, and travel; manage recruiting events. Communicate with candidates throughout the scheduling, interviewing, and hiring process. Arrange travel: airfare, hotel, transportation; manage reimbursement of candidate travel expenses. Improve the candidate experience and scheduling efficiency. Ensure completion of pre‑employment documents. Track and generate confidential reports on headcount, recruiting activity, and expenses. Provide sourcing and recruitment support for entry‑level or administrative positions. Reserve conference rooms, order food, and coordinate video conferences. Maintain data integrity in the Applicant Tracking System (Workday). Understand recruitment area, role profiles, and hiring manager needs. Assist in writing job descriptions, interview guides, and employment ads. Prepare offer letters and new‑hire packets. Host candidates during on‑site interviews, providing lunch and assistance. Coordinate logistics with remote office coordinators (conference rooms, lunch). Manage employment application process: ensure completed applications before on‑site interviews and upload to ATS. Qualifications High school diploma or GED; 1‑2 years HR experience and knowledge of applicable laws and policies. Proven experience supporting a team of managers in a fast‑paced environment. Excellent organizational skills and follow‑through to provide a positive candidate experience. Strong proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook). Preferred Qualifications Experience with applicant tracking or recruiting databases/systems such as Taleo. Effective collaboration with teams in different offices. Excellent attention to detail. Ability to maintain a high level of confidentiality. Knowledge of Service‑Now and Workday. Working Conditions Temporary contract. Hybrid work in Cedar Rapids or Philadelphia. Temporary contract candidates not eligible for Transamerica’s benefit package. Compensation The salary ranges from $19.00 to $24.50 per hour. Salary may vary based on qualifications, experience, geography, work location, and operational needs.
