Manager of University Events and Community Projects

Job Summary The Manager of University Events and Community Projects isresponsible for managing internal and external groups utilizingcampus facilities; marketing facilities; identifying service needs;supporting daily event operations. Duties & Essential Job Functions 1. Facility Coordination: Acts as a liaison between customers andUniversity departments for facility bookings and arrangements.Communicates with all levels of University staff and externalgroups, interpreting and explaining facility policies. Addressesspecial service requests or policy deviations and representUniversity Events at meetings with customers, both on and offcampus. 2. Documentation and Communication: Distributes event-specificpaperwork, including facility reservation forms, applicationletters, approval forms, and monthly calendars. Communicatesadministrative, financial, and technical information to relevantparties. 3. Event Facilitation: Assists the director in coordinatingfacility and personnel needs for events. Monitors the receipt ofapplications, contracts, deposits, and insurance forms. Coordinatesvendor services, requests quotes from other departments, andestimates event costs. 4. Revenue Monitoring and Billing: Prepares and issues eventbilling. Monitors accounts receivable and payable, conductingmonthly audits to ensure alignment with budget reports. Reconcilecharges and receipts with departments that provided services, andassist with maintaining facility, billing, and accountingrecords. 5. Quality Assurance and Event Management: Schedule and overseestudent office employees and summer conference program assistants.Troubleshoot and resolve issues during events. Provide on-sitemanagement for conferences and special events to ensure qualityservice and smooth operations. 6. Commencement and Summer Events Support: Provides assistance inorganizing and facilitating commencement ceremonies and summerevents. 7. Performs other related duties as assigned. Required Education & Experience Bachelor’s degree. 1 year of experience in conference and/or special eventsmanagement Preferred Education & Experience None Required Licensure/Certification/Specialized Training Valid Texas Driver’s License. Must be insurable under the university motor vehiclerequirements. Preferred Licensure, Certification, and/or Specialized Training None Knowledge, Skills & Abilities Knowledge of presentations and interpersonal relationshiptechniques. Knowledge of customer relationship management. Knowledge of basic accounting practices. Skill in some or all components of Microsoft Office. Skill in the navigation of Microsoft Windows. Ability to implement various scheduling programs. Ability to interact with constituencies and peers. Ability to review and make recommendations to improve, streamlineprocesses, and be in compliance with policies. Ability to train and lead staff. Manual dexterity for typing, writing, standing and reaching,flexibility, body movement for bending, crouching, walking,kneeling and prolonged sitting. Lifting and moving objects and equipment up to 10 lbs. Work Environment Work is indoors and sedentary and is subject to schedule changesand/or variable work hours. This role is an on campus, in-person position. There are no harmful environmental conditions present for thisjob. The noise level in this work environment is usuallymoderate.
