Facilities Clerk

The Facilities Clerk provides administrative and clerical support to the Facilities Department in a casino environment. This position is responsible for maintaining records, processing work orders, tracking maintenance activities, coordinating vendor documentation, managing inventory records, and ensuring accurate departmental reporting. The Facilities Clerk helps support the efficient operation and maintenance of casino facilities while ensuring compliance with company policies and regulatory requirements.

Responsibilities include:

• Receive, enter, track, and close facility maintenance work orders.
• Maintain accurate records of repairs, maintenance schedules, inspections, and equipment inventories.
• Prepare departmental reports, spreadsheets, and correspondence.
• Coordinate service requests between departments and facilities personnel.
• Assist with scheduling preventive maintenance activities and contractor visits.
• Track purchase orders, invoices, and departmental expenditures.
• Maintain filing systems for facility documents, permits, warranties, contracts, and regulatory records.
• Monitor inventory levels of maintenance supplies and office materials.
• Communicate with vendors regarding service calls, deliveries, and documentation requirements.
• Answer department phones and respond to inquiries from casino team members and management.
• Assist with data entry and maintaining computerized maintenance management systems (CMMS).
• Ensure all records are organized, accurate, and readily available for audits and inspections.
• Support department compliance with safety, environmental, gaming, and company regulations.

Qualifications:

• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
• Strong data entry and recordkeeping skills.
• Ability to maintain confidentiality and handle sensitive information.
• Excellent organizational and time-management skills.
• Strong written and verbal communication skills.
• Ability to prioritize multiple tasks and meet deadlines.
• Basic understanding of maintenance operations and work order systems preferred.
• Strong customer service skills and attention to detail.

Education and/or Experience:

• A high school diploma or GED is required.
• Training is provided on the job.
• Must have a valid driver's license.
• Proficient in MS Word, Excel, PowerPoint, and Outlook.
• Associate degree in Business Administration or a related field preferred.
• One to three years of clerical, administrative, facilities, maintenance, or office support experience preferred.
• Experience in a casino, hospitality, hotel, or large commercial facility environment preferred.

Physical Demands:

• Ability to sit, stand, and walk for extended periods.
• Ability to lift and carry up to 20 pounds occasionally.
• Ability to operate standard office equipment.
• May be required to travel throughout the casino property.

Pay Range: USD $15.00 - USD $15.00 /Hr. Tipped Position
