Lofton Staffing is seeking an Executive Assistant / Office Manager for a large local contracting company!

This position plays a critical dual role, providing high-level administrative support to the President while overseeing the daily operations of the office. This position requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and capable of anticipating needs, streamlining processes, and maintaining a professional and efficient workplace.

Key Responsibilities

Executive Assistant Duties
• Manage executive calendar, including scheduling meetings, appointments, and travel arrangements
• Prepare presentations, reports, and correspondence with a high degree of accuracy
• Coordinate meetings, including agendas, materials, and minutes
• Track key deadlines and follow up on deliverables and action items
• Handle confidential information with integrity and discretion

Office Manager Duties
• Manage office supplies, inventory, and vendor relationships
• Coordinate facility maintenance and address workspace needs
• Handle mail, deliveries, and front-office coordination
• Support onboarding processes (workspace setup, equipment, supplies)

Administrative / Operational Support
• Assist with budgeting, expense tracking, and invoice processing
• Support HR with administrative tasks
• Plan and coordinate company meetings, events, and team activities
• Maintain organized filing systems (digital and physical)
• Identify opportunities to improve operations and efficiency

Compensation & Benefits

Requirements:
Qualifications
• Bachelor's degree
• 3-7 years of experience in an executive support or office management role
• Strong organizational, multitasking, and time-management skills
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
• Ability to work independently and exercise sound judgment
• High level of professionalism and confidentiality
