Processing Specialist I Full time, Regular position within the Service Oklahoma (SOK) motor vehicle division. Compensation This position offers an annual rate of $38,480.00 and a benefits package that includes medical, dental, vision, life, and disability insurance, a 7% retirement contribution match, 11 paid holidays, 15 days of paid annual leave (increasing every 5 years), 15 days of paid sick leave, and longevity payments based on years of service with the State of Oklahoma. Position Summary The Motor Vehicle Processing Specialist provides professional and technical services concerning state tax laws or agency policies and procedures. The role ensures consistent interpretation of laws, rules, and procedures, and assists customers with compliance and related matters. Position Responsibilities Open, sort, extract, review, and edit all forms received and prepare them for posting to accounts. Review payments to ensure tax liabilities are accurately paid and processed for deposit. Correct tax returns and documents within established guidelines and rule/statute requirements as needed. Research accounts for information and history to apply payments or correct returns. Enter data of remittances and returns into various databases and software systems. Notify leadership of potential problems, recommend alternate solutions, and assist with training employees. Provide input for improvement of procedures, policies, and efficiencies. Operate equipment associated with inbound and outbound mail, including high‑speed scanners and folder/inserters. Work with vendor representatives to ensure timely and accurate mail‑outs. Maintain production schedules to ensure deadlines are met. Prepare production/statistical reports. Assist with tracking supplies. Research and resolve discrepancies in tax returns/documents and remittances to ensure proper processing and posting of funds. Operate and provide daily maintenance of high‑speed scanners. Review and correct scanned images in processing modules. Verify scanned images in imaging repositories and make corrections when necessary. Keys remittances and/or returns into various databases and software systems. Cross‑training in other sections may be required based on agency needs. Knowledge, Skills, & Abilities Knowledge of office practices and procedures, including record maintenance. Ability to establish and maintain effective working relationships with others. Ability to communicate effectively, following oral and written instructions. Demonstrates the ability to protect operations by keeping confidential information. Office methods and procedures, including computer and applicable software use. Proficiency in Microsoft Office programs and written and verbal communication. Education & Experience Preferred minimum qualifications vary by level. Level I Associate’s degree in accounting, business, public administration, or a closely related field. OR equivalent combination of education and experience. Level II Associate’s degree in accounting, business, public administration, or a closely related field. PLUS one (1) year of bookkeeping, tax revenue, customer service, accounts maintenance, or closely related work. OR equivalent combination of education and experience. Level III Associate’s degree in accounting, business, public administration, or a closely related field. PLUS two (2) years of experience in bookkeeping, tax revenue, customer service, accounts maintenance, or closely related work. OR a bachelor’s degree in accounting, business, public administration, or a closely related field. OR an equivalent combination of education and experience. Preference may be given to applicants with experience in imaging equipment or processing environments and/or skilled at typing accurately at least forty words per minute. Special Requirements No travel required. Work in a comfortable office setting, primarily using a computer. Must stand up to eight hours a day and lift 10–50 pounds regularly, with assistance as needed.
