Job Title: Project Coordinator - ManufacturingJob Description This role focuses on coordinating manufacturing projects from planning through execution, with a strong emphasis on financial tracking, material planning, and cross-functional collaboration. The Project Coordinator supports a lead Project Manager by managing timelines, organizing documentation, tracking project spend, and preparing clear reports that help the team understand project status and financial performance. Responsibilities + Access data in SAP to pull out detailed project information and use these details to write clear and accurate project reports. + Review project spend information, track and place purchase orders, and prepare regular reports in Excel to monitor budgets and financial performance. + Track inputs from the project team and utilize available resources to understand and communicate the financial status of each project. + Establish functional timelines and completion dates in support of the lead Project Manager, ensuring that key milestones are clearly defined and achievable. + Create and maintain project timelines, schedules, and plans, engaging with multiple cross-functional partners to keep activities aligned and on track. + Review, organize, and maintain all documentation required for successful project execution, ensuring information is complete, accurate, and accessible. + Work closely with cross-functional partners and document owners to obtain updates ahead of schedule and keep project records current. + Track Bill of Materials (BOM) status, material ordering, material versions, and supporting systems that enable effective execution of project objectives. + Coordinate and track material planning activities, ensuring raw materials and components are available when needed for production. + Obtain Quality and Regulatory requirements for each project and establish the tasks and timelines needed to meet these requirements. + Attend production meetings to request equipment downtime for project execution and track performance against target timeframes. + Support risk management activities by identifying potential issues, tracking them, and helping to develop mitigation plans. + Participate in project lessons-learned reviews and establish improvement plans for subsequent tasks and future projects. + Schedule and coordinate meetings with stakeholders and project team members, ensuring effective communication and follow-up on action items. + Engage with stakeholders to manage expectations, share updates, and support decision-making through clear reporting and analysis. + Apply project lingo and processes appropriately within the manufacturing and production environment to support consistent project delivery. Essential Skills + At least 2 years of experience managing or coordinating projects with evidence of successful delivery. + Hands-on experience creating project timelines and schedules and engaging with multiple cross-functional partners. + Strong communication skills, with the ability to present project status and financial information clearly to diverse stakeholders. + High proficiency in Microsoft Excel, including the ability to create, update, and interpret reports and spreadsheets. + Experience using SAP to access project and financial data and support project reporting and tracking. + Practical understanding of manufacturing processes and production environments. + Experience with project coordination and project management activities, including planning, tracking, and reporting. + Ability to schedule meetings, manage calendars, and coordinate activities across teams. + Experience with risk management, including identifying, tracking, and reporting project risks. + Proficiency with Microsoft Office tools for documentation, communication, and reporting. + Experience with financial analysis, budgeting, and tracking project spend. + Stakeholder management skills, including maintaining relationships and managing expectations. + Experience in resource planning and project planning within a manufacturing or production context. + Self-starter mindset with the ability to work proactively and independently while supporting a senior Project Manager. Additional Skills & Qualifications + Understanding of raw material flows and Bill of Materials (BOM) in a manufacturing environment is a plus. + Experience with material planning, including ordering and tracking material versions, is beneficial. + Familiarity with project lingo and terminology used in complex manufacturing projects. + Background in reporting, purchase order tracking, and finance-related project activities. + Exposure to budgeting processes and financial performance tracking for projects. + Experience attending and contributing to production meetings in a manufacturing facility. + Ability to review project lessons learned and translate them into practical improvement plans. Work Environment The role is based in a manufacturing facility environment where production processes, equipment, and material flows are central to daily activities. You will collaborate closely with cross-functional teams such as production, quality, regulatory, and supply chain, and regularly attend production meetings on-site. Work involves extensive use of SAP, Microsoft Excel, and other Microsoft Office tools to manage data, documentation, and communication. The environment is fast-paced and project-driven, offering the opportunity to learn from a senior Project Manager and gain strong project management experience while contributing directly to the execution of manufacturing projects. Job Type & Location This is a Contract position based out of Jacksonville, FL. Pay and Benefits The pay range for this position is $48.00 - $48.00/hr.
