  • Develop and maintain a comprehensive tracking system for grants, including reporting requirements, compliance obligations, deadlines, and due dates.
  • Maintain accurate and organized files for all grants and contracts.
  • Ensure required forms, approvals, and signatures are obtained for new grants.
  • Prepare and submit required grant reports accurately and on time.
  • Serve as a primary contact with funding agencies regarding accounting, budget, and compliance matters.
  • Assist with grant audits and compliance reviews as needed.

Financial Oversight & Reporting

  • Provide financial oversight of grant funds, including routine monitoring, grant budgets, budget amendments, budget change forms, and related documentation.
  • Monitor and account for grant expenditures and ensure required financial reports are completed in accordance with grant guidelines.
  • Analyze grant-related transactions, including salaries and wages charged to grants, to ensure costs are allowable and compliant with applicable requirements.
  • Identify discrepancies or necessary adjustments and communicate required actions to appropriate personnel.
  • Prepare monthly grant performance reports, including fund utilization, remaining available funds, actual-to-budget comparisons, and variance analysis.
  • Provide recommendations based on grant performance and financial results.
  • Prepare reimbursement invoices to granting agencies or organizations when required.
  • Assist with monthly forecasting and the annual budgeting process.
  • Enter and maintain grant budgets and updates within the accounting system.

Grant Development & Funding Opportunities

  • Manage and coordinate with the Grant Writer to ensure grant applications and renewals are submitted on time.
  • Collaborate in the preparation, development, and submission of grant proposals and renewals.
  • Research county, state, and federal grant opportunities and identify potential funding sources for programs and projects.
  • Evaluate projects and initiatives for potential grant eligibility.

Cross-Functional Collaboration

  • Meet regularly with program and department staff to review grant performance, fund utilization, available balances, and budget variances.
  • Interpret and communicate grant regulations, administrative requirements, and policies to internal staff and external stakeholders.
  • Work with program staff to ensure funding budgets and modifications remain accurate and current.
  • Maintain accurate grant and contract information in grant management and accounting systems.
  • Develop a working knowledge of broader accounting department functions and provide support as needed.

Qualifications

Required

  • Three or more years of experience in grant development, grant management, administration, financial oversight, or planning.
  • Experience with Office of Management and Budget (OMB) Uniform Guidance and Single Audit Act requirements preferred.
  • Strong financial analysis, budgeting, reconciliation, and reporting skills.
  • Proficiency with Microsoft Office, particularly Excel.
  • Experience working with grant management software and/or accounting systems.
  • Valid driver’s license and an acceptable driving record.

Preferred

  • Previous experience working with a Native American sovereign nation, tribal organization, government agency, nonprofit organization, or other grant-funded environment.
  • Experience managing multiple federal, state, and local grants simultaneously.

Skills & Abilities

  • Strong analytical and problem-solving skills.
