Administrative Assistant - $18/hr, M-F Day Shift (42410)

This is a 1st shift opportunity, with pay ranging $18 an hr. This is not a remote position.

Responsibilities for this Executive Administrative Assistant position include but are not limited to:

Duties:

1. Provides primary receptionist and customer service support for the District Office by serving as the first point of contact for employees, contractors, local officials, and the general public. Greets visitors, answers and routes incoming telephone calls, responds to routine questions, directs customers to the appropriate staff, and ensures every visitor receives prompt and professional assistance.

1. Manages the daily operation of the District Office front office by maintaining the reception area, processing incoming visitors, monitoring office activity, and ensuring administrative functions continue smoothly throughout the day. Balances frequent interruptions while supporting multiple employees and responding to changing priorities.

1. Processes incoming and outgoing mail, UPS, FedEx, and other deliveries for the District. Sorts and distributes mail, prepares outgoing shipments, coordinates package pickups, and ensures time-sensitive correspondence reaches the appropriate employees. Maintains copier paper and office supply levels, reports equipment issues, and helps keep shared office equipment operational.

1. Provides payroll and administrative support by entering payroll information into KHRIS, maintaining attendance and leave documentation, assisting with financial records, and ensuring administrative documents are completed accurately and submitted by required deadlines.

1. Processes financial and purchasing transactions by preparing GAX documents in eMARS, serving as backup for the District Pro Card program, maintaining supporting documentation, and assisting with administrative reports and recordkeeping. Ensures policies, procedures, and administrative reference materials remain current as updates are implemented.

1. Maintains a thorough working knowledge of Kentucky Cabinet policies, procedures, and administrative processes in order to answer questions, explain requirements, and direct employees and the public to the appropriate resources when additional assistance is needed.

1. Serves as a dependable backup for other administrative functions within the district when needed, assisting coworkers during vacancies, absences, or periods of increased workload to ensure continuity of operations

Hours – Monday – Friday – 7am – 3:30 pm with 1 hour , 37. 5 hours per week

Experience (as per our job spec) – bachelors degree with 1 yr of professional, admin, or business exp

Or 5 yrs of professional, admin, or business exp without a bachelor's degree
