Description


The Graduate Admissions Counselor serves as the primary day-to-day admissions contact for assigned graduate programs and supports assigned prospective students throughout the admissions process, from initial engagement through matriculation. The Counselor builds program expertise, provides personalized guidance, manages application and admissions activity, supports faculty review, and maintains accurate applicant records. The position combines responsive program partnership with consistent, student-centered counseling and reliable admissions execution.

Responsibilities

Program Partnership

• Serve as the primary admissions liaison for assigned graduate programs, fostering collaborative relationships with program leadership, faculty, and admissions committees while providing guidance, updates, and support related to recruitment and admissions activities.
• Maintain expertise in assigned programs and identify, communicate, and appropriately escalate issues, risks, or opportunities that may impact admissions operations, applicant experience, or enrollment outcomes.

Prospective-Student Recruitment & Counseling

• Provide timely, personalized outreach to inquiries, applicants, admitted students, and deposited students to support application completion, enrollment decisions, and successful matriculation.
• Utilize Slate, Centralized Application Services and other approved university tools, enrollment data, and professional judgment to prioritize outreach, support applicant progression, and identify concerns requiring referral or additional support.

Admissions Operations & Application Management

• Manage admissions processes for assigned programs, including application completion and preliminary review, interview coordination, admissions decisions, communications, matriculation activities, and related workflows, ensuring accuracy, timeliness, and adherence to university policies and procedures.
• Coordinate with internal and external partners to facilitate an efficient, student-centered admissions experience.

Faculty, Committee & Operational Support

• Support faculty, admissions committees, and reviewers throughout the evaluation and selection process by providing training, guidance, resources, and administrative support while ensuring compliance with established policies, procedures and timelines.
• Monitor workflow progress and appropriately escalate issues, exceptions, or concerns that may affect applicant outcomes or operational effectiveness to office leadership.

Data, Events, and Team Contribution

• Maintain accurate and timely admissions records; monitor application activity, workflow status, and enrollment indicators for assigned programs; and share relevant trends, concerns, and updates with office and program leadership.
• Plan, organize, execute, and host program specific virtual and on-campus recruitment events, cross-functional initiatives, team projects, cross-training efforts, and other activities that support departmental goals and student success.
• Other duties as assigned.

Qualifications

Required

• Bachelor's degree.
• Strong written, verbal, advising, relationship-building, and organizational skills.
• Ability to engage prospective students, faculty, staff, and university partners effectively and professionally.
• Strong attention to detail and ability to manage multiple program portfolios, applicant stages, deadlines, and competing priorities.
• Experience with CRM, student information, or comparable record-management systems.
• Sound judgment about when to act independently and when to refer a matter for additional review.
• Valid driver's license and ability to travel as needed.

Physical Requirements

• This position requires the ability to travel by car and air, transport recruitment materials (up to 30 lbs.), and work extended hours during peak recruitment seasons.

Preferred

• One or more years of experience in graduate admissions, higher education enrollment, student services, advising, or a related field.
• Experience with Slate CRM and health-professions Centralized Application Services.
• Familiarity with health-professions or professional graduate-program admissions.
• Experience supporting faculty committees, interviews, application review, yield, or matriculation processes.
