Job Title: Program Coordinator Department: Permanent Supportive Housing Location: San Antonio, TX, US Employment Type: Full Time Clerical Salary Range: $38,000.00 – $42,000.00 annually
SUMMARY
The Program Coordinator for Permanent Supportive Housing organizes, plans, and conducts administrative duties to help ensure the program is meeting grant and contractual requirements. In addition to ongoing quality assurance monitoring, the Program Coordinator is responsible for assisting with payment processing, maintaining logs of program spending, and data input and analysis.ESSENTIAL DUTIES AND RESPONSIBILITIES
Ensure the timely preparation of payment processing (utility, rent, deposit payments, communication with landlords and utility companies, review check request forms for accuracy, create and maintain spreadsheets/database to track spending and grant budgets). Assist with coordination of audit information and recommend appropriate data gathering mechanisms, procedures, etc. Participate in development, planning, and execution of continual process improvement efforts, policies and procedures, and regulatory compliance functions related to programs. Assist with responding to walk-ins seeking assistance by guiding them to the appropriate resources. Maintain knowledge of HUD rules, regulations and eligibility requirements to ensure ongoing adherence to program obligations. Apply individual reasoning to problem solutions, devising or modifying processes and writing procedures as necessary. Maintain current knowledge of SAMMinistries policies, procedures, and various program eligibility requirements. Contribute to a positive and welcoming environment for program participants and SAMMinistries team members. Conduct or participate in departmental, community committees, and interdisciplinary team meetings as required for wrap‑around care coordination activities.GENERAL EXPECTATIONS
Establish goals, priorities and timelines to ensure timely and efficient task completion. Communicate challenges with the Permanent Supportive Housing Program Manager or Vice President of Supportive Housing. Attend staff meetings and participate in organization-wide planning activities. Handle other tasks assigned by the Program Manager or Vice President of Supportive Housing. Keep up to date on compliance best practices and applicable legislation. Undertake activities with the highest ethical standards.EDUCATION AND/OR EXPERIENCE
Associate's degree or Bachelor's degree in social services or related field preferred. Minimum two years' experience working with at‑risk populations and/or in finance and quality assurance. Combination of education and experience may substitute the above.LANGUAGE SKILLS
Strong interpersonal, organizational, communication, and computer literacy; attention to detail, accuracy, deadline adherence; ability to read, analyze, interpret business periodicals, professional journals, technical procedures, and governmental regulations; to write business correspondence, policies, and effectively present information. Bilingual Spanish preferred.REASONING ABILITY
Ability to solve practical problems with limited standardization; interpret instructions in written, oral, diagram, or schedule form.CERTIFICATES, LICENSES, REGISTRATIONS
Valid Texas Driver's License with good driving record, reliable transportation, and proper insurance. Monthly mileage reimbursed for applicable work‑related mileage.OTHER SKILLS AND ABILITIES
Operate computer, copier, fax, telephone with intercom; proficiency with Windows XP and Office Suite; willingness to learn new programs; think conceptually, set priorities, interface effectively with staff; coordinate multiple projects with minimal supervision; maintain confidentiality; public speaking ability; flexibility to provide assistance as needed.PHYSICAL DEMANDS
Occasional standing, walking, sitting, use of hands, reaching, talking, hearing; occasionally lift/move up to 25 pounds; vision requirements include close, distance, peripheral, focus adjustment.WORK ENVIRONMENT
Indoors and outdoors; noise level usually low; workload may require hours in excess of 40 per week.
