Summary:

Each shift begins with the open queue of sales representative emails, shared inbox requests, and CRM updates waiting for coordination. The Sales Operations Coordinator organizes accurate sales information so representatives can respond with current opportunity details and leaders can see dependable activity. Working under a sales operations manager, the coordinator partners with sales representatives, sales leaders, marketing coordinators, and internal operations contacts to keep requests moving. The position is fully remote and work from home in Iowa, United States, with desk-based coordination performed through approved systems. The role requires a 40-hour weekly commitment. Working days and shift times may vary. A typical shift moves from reviewing new requests and clarifying details to updating systems, arranging follow-ups, and sharing clear status information with the right contacts.

Job Responsibilities:

• Review incoming requests from a shared email queue, sales representatives, and internal tickets, then sort each request by urgency and next action.

• Check opportunity details, contact information, sales stages, and request notes in a CRM such as Microsoft Dynamics 365 before making updates.

• Enter complete, consistent sales activity notes, ownership details, and follow-up dates so representatives and leaders can locate current information.

• Coordinate routine requests for product or service information, pricing guidance, and sales materials with the appropriate internal contacts.

• Maintain request trackers using a spreadsheets and data entry tool such as LibreOffice Calc, identifying missing details for follow-up.

• Organize internal sales meetings and follow-up reminders through a scheduling and calendar tool such as Acuity Scheduling.

• Track assigned coordination tasks in a project management tool such as Basecamp and communicate progress to sales representatives.

• Follow up with request owners when information is incomplete, unclear, or overdue, using concise messages that state the needed detail.

• Escalate unresolved system issues, conflicting opportunity information, or time-sensitive requests to the sales operations manager with complete notes.

• Support recurring sales activity summaries by checking entries for consistency and highlighting notable updates for review.

• Meet quality expectations through accurate updates, timely turnaround, complete notes, and reliable follow-up on assigned requests.

Qualifications:

• High school diploma or equivalent.

• About 1-2 years of sales coordination, sales support, or related operational experience preferred.

• Familiarity with sales opportunity stages, representative requests, follow-up practices, and sales information workflows.

• Experience using a CRM such as Microsoft Dynamics 365 preferred.

• Ability to maintain trackers using a spreadsheets and data entry tool such as LibreOffice Calc preferred.

• Familiarity with a scheduling and calendar tool such as Acuity Scheduling and a project management tool such as Basecamp preferred.

• Clear written and verbal communication for working with sales representatives, leaders, and internal contacts.
