Position Summary The Medical Assistant I provides direct clinical support to physicians and advanced practice providers (APPs) by assisting with patient care, coordinating clinical workflows, and promoting an exceptional patient experience. This role supports the diagnosis, treatment, and ongoing management of patients with urologic conditions while maintaining compliance with clinical, regulatory, and safety standards. Job Relationships: Reports to the Site Manager and Assistant Site Manager; Works closely with providers and the clinical team Qualifications High school graduate or equivalent. Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), National Certified Medical Assistant (NCMA), or equivalent certification preferred. Previous experience as a Medical Assistant in an outpatient clinic or hospital setting preferred. Previous urology, surgical, oncology, or procedural specialty experience preferred. Phlebotomy experience preferred Excellent verbal and written communication skills. Strong organizational and time management skills. Ability to prioritize multiple tasks in a fast-paced clinical environment. Proficiency with electronic medical records (EMR) and Microsoft Office applications. Ability to work collaboratively as part of a multidisciplinary healthcare team. Essential Job Duties Escort patients to examination and treatment rooms while maintaining patient privacy and dignity. Obtain and document patient histories, chief complaints, allergies, medication reconciliation, vital signs, and other pertinent clinical information prior to provider evaluation. Prepare patients for urologic examinations, treatments, and office-based procedures. Assist physicians and APPs during examinations and procedures including, but not limited to, cystoscopies, prostate procedures, catheter insertions and removals, bladder instillations, vasectomies, biopsies, and other office procedures within the scope of training. Prepare and maintain sterile fields, instruments, and procedure rooms following infection prevention standards. Perform bladder scans and accurately document post-void residual (PVR) measurements following competency validation. Obtain blood specimens, urine specimens, and other laboratory specimens utilizing proper collection techniques, OSHA standards, and universal precautions. Perform point-of-care laboratory testing and process laboratory specimens according to established protocols. Prepare laboratory specimens for transport and ensure accurate labeling and documentation. Administer medications, injections, immunizations, bladder instillations, and other delegated clinical treatments within scope of practice and organizational policy. Assist with urinary catheter insertion, removal, exchanges, irrigation, specimen collection, and patient education as directed by the provider. Obtain and review outside medical records, laboratory results, imaging studies, pathology reports, referrals, and prior authorizations to ensure complete documentation for patient visits. Coordinate diagnostic testing, imaging, and specialty referrals as directed. Assist in preparing surgical patients by ensuring required testing, medical clearances, laboratory work, and documentation have been completed. Ensure appropriate informed consent documentation has been obtained prior to procedures. Educate patients regarding medications, procedures, catheter care, postoperative instructions, and follow-up appointments as directed by the provider. Prepare, stock, clean, and disinfect examination and procedure rooms between patients following established infection prevention protocols. Maintain inventory of medical supplies, equipment, medications, and sample medications while notifying leadership of replenishment needs. Maintain accurate and timely documentation within the electronic medical record. Review upcoming clinic schedules to identify missing records, authorizations, laboratory results, imaging, or other required documentation. Assist with quality improvement initiatives, chart audits, and clinical documentation reviews as assigned. Demonstrate professionalism, compassion, and exceptional customer service while maintaining patient confidentiality. Practice Standard Precautions, proper hand hygiene, and appropriate disposal of biohazardous materials. Maintain compliance with HIPAA, OSHA, CLIA, infection prevention standards, and all organizational policies and procedures. Collaborate effectively with physicians, APPs, nurses, surgery schedulers, front office staff, and leadership to promote efficient clinic operations and exceptional patient care. Assist other team members and perform additional duties as assigned. Knowledge : Performance Requirements Medical practice and clinical care standards to assist in providing patient care. Skills : Abilities : Performing medical assisting tasks efficiently and accurately. Taking and recording vital signs. Maintaining clinical records and completing documentation. Abilities : Demonstrate compassion and professionalism in all interactions. Prioritize and manage time effectively while floating between clinics. Adapt quickly to new environments and varying provider workflows. Physical Demands And Work Environment: This role is primarily performed in a clinic office setting with moderate noise and frequent staff and patient interaction. Regular activities include sitting, typing, talking, and hearing, with occasional walking, reaching, and lifting up to 20 pounds. Vision requirements include close and distance vision, peripheral vision, and focus adjustment. Minimal exposure to communicable diseases may occur, and periods of stress can arise when handling time-sensitive or sensitive tasks. Qualifications Essential Knowledge, Skills and Abilities: Knowledge: Medical terminology and office procedures. Grammar, spelling, and punctuation to type from draft copy and review/edit reports and correspondence. Basic arithmetic to make calculations, balance/reconcile figures, and make changes accurately. Medical assisting tasks including taking vital signs, drawing blood, lab processing, procedure prep, and RX prior authorizations. Healthcare systems, regulations, policies, and functions. Infection control and safety standards. Skills: Operating office equipment. Organizational skills: time management, prioritization, multitasking, and problem-solving. Basic computer skills. Abilities: Type 40 WPM using word-processing software; able to use Microsoft Excel, email, internet, PowerPoint. Read, understand, and follow oral and written instructions. Sort and file materials correctly using alphabetic or numeric systems. Communicate clearly and concisely. Establish and maintain effective working relationships with patients, physicians, clinical staff, and the public Education: High school diploma or GED. Diploma as a medical administrative assistant from an accredited medical vocational course preferred. Certification of CCMA, RMA, or CMA preferred. Experience: Minimum one year of administrative assistant experience in a medical office setting. Equipment Operated: Office machinery including computers, cystoscopy scopes/carts, ultrasound machines, autoclave, and instruments for several procedures. Work Environment: Work performed in an office environment with frequent contact with staff and patients. Mental/Physical Requirements: Manual dexterity for office machine operation, including computer and clinical equipment; stooping, bending, or standing for extended periods.
