Manager, Records and Registration - Dept. of UndergraduateMedical Education Wayne State University is searching for an experienced Manager,Records and Registration - Dept. of Undergraduate MedicalEducation at its Detroit campus location. Essential functions (job duties): Job Purpose Supervise the day to day activity of the Office of Records andRegistration in the Medical School. Oversee the recording ofstudent information into the Banner system, maintaing databaseinformation specific to school of medicine enrollement and academicstatus and reporting same to our Promotions committee. The Recordersits on several school committes including the AdministrativeEducation Committee which handles student issues related toenrollement status, policy decisions and academic successinititives. This position reports to the Associate Dean forUndergraduate Medical Education. Essential Functions Manage the day to day operation of the office of Records andRegistration. Hire evaluate and discipline assigned support staff. Assign and monitor workflow and make recommendations to improveefficiency. Oversee the registration process in Banner. Coordinate thein-person registration of medical students. Schedulingregistration, OneCard creation and student health insurance. Administer the enrollment verification process through the WSUclearinghouse. Collect appropiate paperwork and enter into thesystem. Maintain confidentiality and tracking of student files and recordsin compliance with University and federal guidelines. Supervise the entry of student course grades into Banner and thepreparation of transcripts. Monitor course withdrawl process for compliance with tuitionpayments and financial aid requirements. Certify students for graduation. Order diplomas and coordinatedistribution of same. Coordinate student selection lotteries for year 3 and 4 requiredand elective courses. Mantain student medical school e-mail addresses and administrativelistservs, enroll students, faculty and administrators. Administer American Association of Medical College's Student RecordSystem to assure compliance with accreditation standards. Certify students to sit for licensing examinations with theNational Board of Medical Examiners using their USMLEwebsite. Serve on school's promotions committee, prepare confidentialinformation and files for meeting agenda. Serve on the Administrative Educational Affairs committee. Advisegroup on student status and policy issues related to curriculumactivities. Serve on the medical school's Student Health Insurance committee. Responsible for premium payments, assuring student enrollement andmaintaing all records for same. Develop and maintain departmental website. Manage departmental budget. Monitors and approve expenses. Unique duties: Manage registration and scheduling for all four years of the M.D.curriculum, including complex clinical clerkship and electivescheduling. Maintain and oversee the School of Medicine academiccalendar. Manage student academic records in compliance with FERPA,LCME accreditation standards, and university policies. Processgrades, grade changes, enrollment, and degree verifications,transcript requests, and USMLE applications. Administer theVisiting Student Learning Opportunities (VSLO) program for bothWayne State medical students participating in away rotations andvisiting medical students completing electives at WSUSOM. Serve asthe department's subject matter expert on medical studentregistration, academic records, curriculum requirements, studentprogression, and graduation requirements. Supervise two ProgramProject Assistant II staff members, providing leadership, training,workload management, and quality assurance. Collaborate withStudent Affairs, Academic & Student Programs, Curriculum,Admissions, Financial Aid, Information Technology, clerkshipcoordinators, affiliated clinical sites, and faculty to supportstudent success and ensure accurate academic administration. Leaddepartmental process improvement initiatives and support theimplementation of new technologies and system enhancements. Qualifications: Education: Bachelor's degree Additional Education Information: Graduation from an accreditedcollege or university, or an equivalent combination of educationand/or experience. Experience: Specialist Additional Experience Information: Minimum of five years’experience working in an academic registration office. Must be intimately familiar with medical school processes and nationalpolicies related to student record keeping.

MANAGEMENT SKILLS:

Ability to delegate work, plan unit activitiesand manage workflow. Train staff and foster teamwork among thestaff. Ability to meet deadlines.

TECHNICAL SKILLS:

Skills: Proficient in Banner and workingknowledge of AAMC and LCME web-based entry systems. Ability to useMicrosoft products including Access, Word, PowerPoint andExcel.

COMMUNICATION SKILLS:

Strong oral and written communications skillsare essential.

ANALYTICAL SKILLS:

Ability to evaluate information and interpretpolicy for sound decision making. Must possess and demonstrateattention to detail in order to achieve a high degree ofaccuracy.

PLANNING AND ORGANIZATIONAL SKILLS:
