From large-scale installations in iconic city spaces to hospitality, corporate, and public-facing environments, we bring bold creative concepts to life through hands‑on execution and thoughtful production. We’re a small but mighty team known for moving fast, working hard, and delivering exceptional experiences. As we head into our busiest season, we’re looking for a Freelance Operations & Warehouse Manager to support both field operations and back‑of‑house production systems that keep our projects running seamlessly. The Role This hybrid role combines in-field production operations with warehouse and organizational management. The Operations & Warehouse Manager will work closely with our Project Manager to oversee logistics, scheduling, crew coordination, inventory systems, warehouse organization, and installation preparation across multiple projects. You’ll play a key role in ensuring installation teams are fully prepared before arriving on-site — from organized inventory pulls and equipment readiness to crew coordination and production timelines. This role is ideal for someone who thrives in fast-paced environments, enjoys building structure behind the scenes, and can confidently lead operations both on-site and in the warehouse. Responsibilities Field & Production Operations Manage logistics for fabrication, floral, holiday décor, and experiential installations across NYC and beyond Coordinate rentals, deliveries, trucks, lifts, equipment, and production materials Schedule and manage install crews, call times, and task assignments Provide on‑site operational support during installs to ensure projects stay on schedule and crews are properly supported Troubleshoot logistical challenges and support real‑time production decision-making Communicate with vendors, freelance crew members, fabricators, and internal teams throughout project execution Help facilitate smooth install and strike processes while maintaining production standards and efficiency Warehouse & Back‑of‑House Operations Oversee warehouse organization, cleanliness, inventory systems, and operational flow Prepare installation teams with organized materials, tools, equipment, and décor assets prior to deployment Manage inventory pulls, returns, restocking, and asset tracking before and after installsDevelop and improve operational systems, workflows, checklists, and organizational processes Create and maintain project calendars, prep schedules, and production tracking systems Support team success by ensuring crews, materials, and logistics are aligned for efficient execution Assist with warehouse runs, loading/unloading, and general operational support as needed Qualifications 5+ years of experience in operations, event logistics, production coordination, warehouse management, or related fields Strong understanding of production workflows, install logistics, inventory management, and vendor coordination Highly organized with the ability to manage multiple projects and moving parts simultaneously Excellent communication, leadership, and problem‑solving skills Calm under pressure with a proactive, solutions‑oriented mindset Comfortable in hands‑on, fast‑paced production and warehouse environments Experience building systems and improving operational processes Proficiency in Google Workspace and production scheduling tools Based in the NYC area with availability for on‑site work and occasional travel Nice to Have Experience in experiential, floral, décor, scenic, or holiday production Experience managing multiple install crews simultaneously Forklift, warehouse, and inventory management experience Willingness to jump in wherever needed during high‑pressure install periods Ability to lift 30+ lbs Bilingual - Spanish & English To Apply Please send your resume, availability, and a brief introduction about your experience to View email address on click.appcast.io.
