About the job Medical Support Officer / Medical Helpdesk Assistant
The Medical Support Officer / Medical Helpdesk Assistant is responsible for providing administrative and non-clinical support to patients, healthcare providers, and internal teams. This role serves as a primary point of contact for patient inquiries, appointment coordination, medical documentation support, insurance verification, and healthcare service assistance.
- Respond to patient inquiries via phone, email, chat, and support ticket systems
- Assist patients with appointment scheduling, rescheduling, and cancellations
- Provide information regarding healthcare services, procedures, and office policies
- Escalate urgent medical concerns to appropriate clinical staff
- Deliver professional and empathetic customer service to patients and caregivers
- Maintain accurate patient records and documentation
- Process patient forms, referrals, authorizations, and healthcare documentation
- Support medical records requests and document management activities
- Assist with intake procedures and patient registration processes
- Verify and update patient demographic and insurance information
- Verify insurance eligibility and benefits
- Assist patients with billing inquiries and payment-related questions
- Coordinate with insurance providers regarding claim status and coverage verification
- Support revenue cycle and patient account processes as needed
- Ensure compliance with HIPAA and organizational privacy standards
- Maintain confidentiality of protected health information (PHI)
- Follow established healthcare policies, procedures, and service standards
- Document interactions accurately and timely
- High school diploma or equivalent required
- Associate degree in Healthcare Administration, Medical Office Administration, or related field preferred
- 1-3 years of experience in healthcare support, medical administration, patient services, customer service, or helpdesk environments
- Strong verbal and written communication skills
- Excellent customer service and interpersonal abilities
- Strong organizational and multitasking skills
- Attention to detail and accuracy
- Proficiency with Microsoft Office applications
- Ability to work independently in a remote environment
- Experience with electronic health record systems such as Epic Systems, Cerner, or Athenahealth
- Familiarity with healthcare scheduling and patient management systems
- Knowledge of HIPAA regulations and healthcare privacy requirements
- Experience with medical terminology and healthcare workflows
- Bilingual communication skills preferred
- Healthcare customer service or patient support experience
