Job Description: People Operations Specialist (HR)
Purpose
The People Operations Specialist plays a critical role in supporting the Talent & Development and HR team. This position ensures HR processes run smoothly, compliance requirements are met, and employees receive timely, accurate, and effective support throughout their lifecycle at CCI. The role also supports organizational tracking, reporting, payroll coordination, and administrative execution across all HR functions.
Key Responsibilities
Administrative & Employee Support
- Manage scheduling, follow-ups, and general administrative tasks.
- Coordinate and schedule interviews; manage candidate communications and touchpoints.
- Create and manage onboarding schedules, including pre-start coordination for new hires.
- Create and maintain new hire and termination checklists.
- Maintain and update the CCI Family Book and organizational chart.
- Prepare and distribute the monthly employee newsletter.
- Support employee recognition programs, company events, and internal communications.
- Manage job postings, recruitment calendars, career fair registrations, and related logistics.
- Maintain internal job aids and recruitment documentation.
- Handle employment verifications and manage unemployment claims.
- Maintain accurate, confidential, and audit-ready personnel files.
- Assist with payroll processing, including data entry, auditing payroll changes, and coordinating with payroll providers to ensure timely and accurate processing.
- Assist with employee benefits administration, including Open Enrollment.
- Track 401(k) eligibility and enrollment.
- Assist with employee visa-related administrative support.
- Perform compensation market research and benchmarking.
- Perform other administrative duties as assigned.
Systems & Compliance
- Serve as the primary administrator for the CCI HRIS (CHR system), ensuring data accuracy, integrity, and functionality.
- Track and report compliance items, including PE renewals, professional licenses, and certifications.
- Oversee pre-employment compliance, including background checks and new hire documentation.
- Prepare, file, and maintain compliance reports (EEO-1, Affirmative Action, and related reporting).
- Administer and track employee leave programs (FMLA, STD, LTD).
- Ensure HR records, payroll inputs, and processes meet audit and regulatory compliance requirements.
Data & Reporting
- Generate regular compliance, workforce, payroll-related, and HR metrics reports.
- Develop and maintain compliance dashboards and tracking tools.
- Support retention, workforce planning, and succession planning efforts through reporting and documentation.
- Maintain accurate data for organizational tracking, payroll accuracy, and reporting needs.
Key Deliverables
- Accurate and up-to-date HRIS (CHR) records.
- Timely and accurate payroll data support and coordination.
- Compliance dashboards tracking licenses, certifications, and regulatory requirements.
- Timely preparation and submission of compliance reports (EEO-1, Affirmative Action, FMLA, etc.).
- Personnel files maintained, organized, and audit-ready.
- Updated CCI Family Book and organizational chart (quarterly).
- Active and accurate recruitment calendar shared with leadership.
- Consistent delivery of the monthly employee newsletter and recognition initiatives.
- Organized onboarding and offboarding processes supported by standardized checklists.
Experience & Qualifications
Education
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- Equivalent experience will be considered.
Experience
- 2–4 years of experience in HR, people operations, payroll support, or administrative roles.
- Hands-on experience with HRIS or HR systems (CHR or similar).
- Exposure to payroll processing or payroll coordination strongly preferred.
- Experience coordinating onboarding, compliance processes, or recruiting logistics.
- Prior exposure to compliance reporting (EEO-1, Affirmative Action, FMLA, etc.) strongly preferred.
Skills
- Strong organizational and time management skills with exceptional attention to detail.
- Excellent written and verbal communication abilities.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Comfort with data tracking, reporting, HR systems, and payroll coordination.
- Analytical skills to support reporting, compliance tracking, and compensation research.
