Position Overview

We are seeking a personable, client-focused Client Service Associate to support our advisors and provide a high level of service to our clients in a hybrid work environment. This role will serve as a key point of contact for clients, assisting with account-related needs, paperwork, and day-to-day service requests.

The ideal candidate is someone who genuinely enjoys working with people, communicating naturally and professionally, and can build strong relationships with clients over time. While attention to detail and operational follow-through are important, we are especially looking for someone with excellent interpersonal and social skills who will help create welcoming, responsive, and dependable client experience.

This position requires someone who can work effectively both independently in a remote setting and collaboratively in the office while maintaining consistent communication with clients, advisors, and team members.

Key Responsibilities

Client Service & Relationship Management

Serve as a primary point of contact for day-to-day client service needs

Answer incoming client calls and respond to questions in a professional, friendly, and timely manner

Build and maintain strong client relationships through consistent, high-touch communication

Assist clients with completing forms, paperwork, and other account-related requests

Follow up with clients regarding outstanding paperwork, account updates, and service requests

Help ensure clients feel informed, supported, and comfortable contacting the firm when they need assistance

Account & Custodial Support

Opening new client accounts through Charles Schwab

Process account maintenance requests, transfers, distributions, and other service-related paperwork

Work directly with Charles Schwab to research and resolve account-related questions or issues

Track outstanding custodial requests through completion and communicate updates to clients and advisors

Ensure account documentation is completed accurately and maintained appropriately

Advisor & Administrative Support

Assist advisors with client follow-up and communications

Maintain accurate client information and records within firm systems

Coordinate paperwork and documentation associated with new and existing client accounts

Support client meeting preparation and follow-up as needed

Help identify opportunities to improve client service processes and office workflows

Provide general administrative and operational support as needed

Qualifications

Required

Excellent interpersonal and communication skills with the ability to connect comfortably with a variety of clients

Strong client-service mindset and a genuine interest in building long-term relationships

Professional, personable, and confident phone presence

Strong organizational skills and attention to detail

Ability to follow requests through to completion and manage multiple priorities

Comfortable learning financial services systems, processes, and terminology

Ability to work effectively in a hybrid environment and remain responsive and organized when working remotely

Comfortable collaborating with advisors and team members both in person and virtually

High level of professionalism, discretion, and reliability

Preferred

Previous experience in wealth management, financial services, banking, professional services, or another client-facing environment

Familiarity with Charles Schwab or another custodial platform

Experience opening accounts and processing client paperwork

CRM or client database experience

Strong problem-solving skills and ability to take ownership of client service issues through resolution
