Morning/Afternoon (9am-2pm) Part-Time Athletics Office Coordinator

The Position

This position coordinates routine office functions of a collegiate athletic department and carries out functional responsibilities that support office operations within the department. This position also produces a variety of documents, reports, schedules, and forms and ensures all related files are maintained efficiently.

Classification: Non-Affiliated Hourly

Staff Duration: Part-Time 12 months; Up to 29 hours per week. Occasional weekend availability may be required.

What You Will Do

Coordinate daily operations of the athletics office, providing customer service and administrative support in person, by phone, and through online communication.

Maintain departmental records, files, and compliance documentation, ensuring accuracy and adherence to NJCAA regulations, institutional policies, and reporting requirements.

Coordinate athletic program administration, including sport records, official documents, game contracts, rosters, certificates, and end-of-season recognition materials.

Support game-day and event operations, preparing game materials, assisting with home and away contests, and coordinating with opposing institutions and departmental staff.

Process departmental financial transactions, including purchase orders, invoices, work orders, meal vouchers, and other operational expenditures.

Coordinate team travel and transportation logistics, including overnight trips, championship travel, vehicle scheduling, and related arrangements.

Assist with personnel and student worker administration, supporting hiring processes, monitoring schedules, and ensuring adherence to established procedures.

Maintain athletic equipment, uniforms, facilities, and inventory records, including team gear, lockers, locks, and fitness center operations.

Provide support for athletic and recreational programs, including intramural activities, special events, and departmental initiatives.

Other duties as assigned.

The Successful Candidate Must Have

1. Associate's Degree.

2. Three years of prior experience working in a student services or office environment that required the delivery of information verbally and written to students and/or the general public.

3. Demonstrated proficiency with Microsoft Office Suite and proficient with correspondence with students, staff, companies, officials etc. requiring the ability to create standard reports, professional documents and communications.

Even Better If You Have

Bachelor's Degree.

Demonstrated proficiency with a database system (Ellucian Colleague or similar).

One year of prior experience working in an athletic department.
