Job Title: Distribution Associate Mail Order Pharmacy

Job Description

The Distribution Associate plays a key role in a closed-door mail order pharmacy by accurately packaging, labeling, and preparing prescription medications for shipment to patients. This position focuses on ensuring medications are packed securely, comply with regulatory and internal requirements, and are delivered safely and on time. In a high-volume, production-driven environment, the Distribution Associate supports patient safety, quality assurance, and operational efficiency through careful handling of prescriptions and adherence to established workflows.

Responsibilities

• Retrieve completed and pharmacist-verified prescription orders from designated staging areas.
• Verify patient identifiers, prescription labels, and shipping documentation for accuracy before packaging.
• Package medications according to company procedures, including special handling for temperature-sensitive, hazardous, or fragile items.
• Include all required documentation with each shipment, such as medication guides, invoices, and patient instructions.
• Apply appropriate shipping labels and ensure accurate carrier selection based on order requirements.
• Prepare shipments in accordance with carrier requirements, including UPS, USPS, FedEx, and other delivery services.
• Stage completed packages in the correct area for scheduled carrier pick-up to ensure timely dispatch.
• Track outgoing shipments and escalate delivery exceptions or issues promptly when they arise.
• Maintain chain-of-custody and follow security procedures for controlled substances and other regulated medications.
• Adhere to all applicable state and federal regulations, including HIPAA, DEA, and Board of Pharmacy requirements.
• Maintain strict patient confidentiality at all times in handling prescriptions and documentation.
• Follow Standard Operating Procedures (SOPs) to ensure packaging accuracy, proper documentation, and consistent workflow.
• Participate in quality assurance processes and initiatives aimed at error prevention and continuous improvement.
• Report discrepancies, damaged products, or process concerns immediately to a supervisor or appropriate contact.
• Maintain adequate levels of shipping and packaging supplies, including boxes, cold packs, bubble wrap, labels, and related materials.
• Keep workstations clean, organized, and compliant with safety standards and production-floor guidelines.
• Assist with replenishing and stocking shipping and packaging supplies as assigned.
• Use basic computer systems, including shipping software and order management tools, to process and document shipments.
• Meet daily shipping volume targets while maintaining high quality standards and minimizing rework or errors.
• Collaborate with pharmacists, pharmacy technicians, and other fulfillment staff to resolve order or shipping issues efficiently.
• Demonstrate accountability and reliability by consistently meeting attendance, productivity, and performance expectations.

Essential Skills

• High school diploma or equivalent.
• Prior experience in warehouse, fulfillment, or shipping environments preferred.
• Ability to work effectively in a fast-paced, high-volume production setting.
• Basic computer proficiency, including use of shipping software and order management systems.
• Strong attention to detail and accuracy when verifying labels, addresses, and prescription contents.
• Ability to follow Standard Operating Procedures and comply with HIPAA, DEA, and Board of Pharmacy regulations.
• Comfort with standing at a workstation for the majority of the shift.
• Organizational skills to manage multiple orders, supplies, and documentation simultaneously.
• Dependability and accountability in meeting attendance and performance expectations.
• Effective communication skills to collaborate with pharmacists, technicians, and fulfillment staff.
• Understanding of controlled substance handling protocols and chain-of-custody procedures.

Additional Skills & Qualifications

• Experience with data entry and order entry in a logistics, pharmacy, or fulfillment environment.
• Experience in operations, logistics, inventory management, or shipping support.
• Experience in administrative support, clerical work, or general administration related to documentation and record keeping.
• Familiarity with shipping labels, documentation review, and document control processes.
• Demonstrated detail orientation, ensuring precision in packaging and documentation.
• Ability to work productively within established workflows and meet performance benchmarks.
• Awareness of pharmacy regulations and commitment to patient safety and confidentiality.
• Proven ability to balance productivity with quality, meeting daily volume targets while minimizing errors.
• Strong sense of ownership over tasks and willingness to participate in quality assurance and process improvement initiatives.

Work Environment

This role is based in a closed-door mail order pharmacy located on a production floor environment. The schedule is Monday through Friday, with first shift typically running from 7:00 a.m. to 3:30 p.m. and second shift from 10:30 a.m. to 7:00 p.m., each including a 30-minute lunch break. Work is performed primarily at a standing desk, and team members should be comfortable standing for most of the day while handling packaging and shipping tasks. The environment is high-volume and production-driven, with a strong focus on accuracy, regulatory compliance, and patient safety. This is a Contract to Hire position based out of Indianapolis, IN.

The pay range for this position is $18.00 - $20.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
