Job Description
Performs routine to moderately complex clerical activities supporting the daily and special activities for the City of Mercer Island's Recreation Division. Work involves providing customer service and reception activities, supporting the division's rental, reservation, and registration services, including but not limited to cashiering, room preparation, and coordinating and monitoring facility use. Primarily working nights and weekends. Work is performed under general supervision with limited latitude in the use of initiative. Position exercises some judgment in accordance with well-defined policies, procedures, and techniques.
Essential Job Functions

- Acts as guest services representative, welcoming and assisting customers, in person and via phone; provides information on policies and procedures and conducts facility tours
- Performs routine clerical and administrative activities, including preparing, drafting, and editing correspondence, documents, reports, and statistics, maintaining records and electronic files; receives and distributes mail and maintains inventory and orders for supplies and equipment
- Receives and processes permit applications, fees, and related contracts, registrations, purchase orders, and related forms, as appropriate
- Opens and closes the Mercer Island Community & Event Center (MICEC) per established policies and procedures; facilitates and monitors visitors' use of the MICEC, nurtures a good visitor experience, enforces rental contract guidelines, and responds quickly to potentially hazardous situations, accidents, and emergencies
- Prepares rooms per scheduled and contracted use; cleans and maintains the City's facility and property, as needed
- Assists with special projects, special uses, programs, services, and/or events in various capacities as needed
- Works evening and weekend hours based on schedule/organizational requirements
- Responds to inquiries, questions, and comments from the general public per established standards and protocols
- Ensures adherence to all established City policies, procedures, and protocols
- Attends evening and/or weekend meetings and events based on organizational responsibilities and/or requirements
- When required by management, responds to Emergency Operations Center to support the City's response during an emergency
Qualification Requirements
High School Diploma or GED required; supplemented by at least one (1) year directly related experience; or an equivalent combination of education, certification, training, and/or experience. LICENSURE/CERTIFICATION
- Valid WA State Driver's License with a driving record free from frequent or serious violations. A three (3) year driving record abstract must be submitted prior to hire
- Completion of NIMS ICS-100, 200, and 700, within first six months of employment
- CPR and First Aid certification within first year of employment
Knowledge, Skills, and Abilities
- Knowledge of clerical procedures and systems such as word processing, managing files and records, and other office procedures
- Skill in the use of Microsoft Office products (Word, Outlook, and Excel) and applicable department and organization-specific software and to learn and become proficient in the use of other specialized software as may be required
- Skill in using mathematics required for the work
- Ability to clearly communicate and understand information in English, both orally and in writing
- Ability to follow oral and written instructions
- Ability to clean, organize, and learn how to use and maintain the equipment necessary for the work
- Ability to enforce facility rules, safety standards, policies, and guidelines
- Ability to maintain confidentiality of information and records
- Ability to read, update, and maintain various records and files in numerical, alphabetical, or chronological sequence
- Ability to review, compile, and organize forms, documents, and related records for efficient processing and ready retrieval
- Ability to track fees, payments, and registrations, and work with money and cash receipts
- Ability to establish and maintain effective working relationships with those interacted with during work regardless of race, color, religious creed, national origin, ancestry, sex, sexual orientation, gender identity, age, genetic information, disability, political affiliation, military service, or diverse cultural and linguistic backgrounds
- Ability to commute independently to and from work and arrive punctually for designated work schedule (virtually or in person), including to community meetings and events
- Ability to work outside of standard business hours to attend meetings and/or events
Working Conditions & Physical Abilities
Depending on functional area of assignment, tasks involve the periodic performance of moderately physically demanding work, usually involving lifting, carrying, pushing and/or pulling of moderately heavy objects and materials (up to 50 pounds). Tasks that require moving objects of significant weight require the assistance of another person and/or use of proper techniques and moving equipment. Tasks may involve some climbing, stooping, kneeling, crouching, or crawling. Tasks are regularly performed inside and/or outside with potential for exposure to adverse environmental conditions (e.g., dirt, cold, rain, fumes). May occasionally be required to work in wet and/or humid conditions. Some tasks require manual dexterity, in addition to visual and hearing acuity. Some tasks may involve identifying and distinguishing colors. Some tasks require the ability to perceive and discriminate visual cues or signals. Some tasks require the ability to communicate orally and in writing. Public Works teams operate in a smoke and drug-free work environment for their health, safety, and productivity, as well as that of their customers.
