Bilingual Recruiting Assistant

We are seeking a professional, organized, and dependable Bilingual Recruiting Assistant to support our recruiting and HR teams and serve as the first point of contact for our office. This role blends recruiting coordination and administrative support with front-desk responsibilities, and is well suited to someone who enjoys variety, thrives in a fast-paced environment, and takes pride in creating a welcoming experience for candidates, clients, and employees.

Key Responsibilities

Recruiting Support

• Coordinate interview schedules between recruiters and candidates.
• Assist recruiters with scheduling interviews and maintaining clear communication with candidates.
• Perform candidate drug screens and breath alcohol testing as needed.
• Assist candidates with web-based safety training and orientation requirements.
• Review new hire paperwork with candidates and assist them with completing required onboarding documents.
• Ensure all required new hire paperwork for Industrial employees is submitted to Genesis HR the week prior to the employee's first paycheck.
• Provide administrative support to the HR department as needed.

Front Office Duties

• Greet and assist visitors, candidates, clients, and employees in a prompt and courteous manner.
• Answer, screen, and route incoming phone calls to the appropriate team member while maintaining a polite and professional tone.
• Arrive early to prepare the front office and lobby area, including making coffee and ensuring the reception area is clean, organized, and ready for the day.
• Process, sort, and distribute incoming and outgoing mail.

General Administrative Support

• Support management and the Operations Coordinator with internal database reporting, administrative tasks, and office projects.
• Help prepare meeting agendas, staff meeting schedules, and other internal communication materials.
• Send employee birthday and anniversary emails and assist with scheduling birthday and anniversary cards.
• Assist with processing employee and client gifts.
• Send weekly payroll reminder emails to clients and ensure timesheets are verified and submitted to the Genesis payroll department.
• Work closely with the payroll department to ensure all timesheets are turned in on time.

Qualifications

• Bilingual (English/Spanish) required — able to communicate fluently with candidates, clients, and employees in both languages, verbally and in writing.
• Previous administrative, front desk, receptionist, HR, staffing, or office support experience preferred.
• Strong verbal and written communication skills.
• Professional phone etiquette and a welcoming, service-focused attitude.
• High attention to detail and strong organizational skills.
• Ability to multitask and prioritize responsibilities throughout the day.
• Comfortable working with internal databases, email, calendars, and basic office technology.
• Ability to handle confidential employee, candidate, and client information with professionalism.
• Dependable, punctual, and willing to support the team wherever needed.
• Comfortable working in a fast-paced office environment.
