Salary: $55K+ DOE

ABOUT THE ROLE:

We’re seeking a detail-oriented, proactive Junior Property Manager to help oversee a portfolio of commercial properties. In this role, you’ll serve as the primary point of contact for tenants, owners, and vendors while supporting the Senior Property Manager with daily operations, financial tasks, and tenant relations.

Our Property Management team is driven by the relationships we build with property owners and tenants. We take pride in protecting owners’ assets, maintaining property cash flow, supporting tenant relations, and earning each owner’s trust.

KEY RESPONSIBILITIES:

Property & Tenant Oversight

• Act as the first point of contact for tenants, owners, and vendors, escalating issues to the Senior Property Manager when needed
• Serve as liaison between commercial tenants, contractors, and landlords
• Physically walk and inspect assigned properties on a regular basis
• Conduct property site visits and meet with vendors, tenants, and owners as required
• Coordinate day-to-day operations, including rent collection, tenant communications, maintenance requests, inspections, and special projects
• Provide tenants with advance notice of scheduled maintenance and repairs
• Address tenant and owner concerns promptly and professionally

Maintenance & Vendor Management

• Oversee maintenance of all building systems and repair schedules
• Schedule and assign seasonal repairs and preventive maintenance
• Schedule vendors for building improvements and capital projects
• Negotiate contracts for building services and monitor contractor performance
• Supervise after-hours emergency on-call services and respond to emergencies
• Respond to urgent situations with sound judgment, involving the Senior Property Manager when necessary

Financial Management & Reporting

• Manage the financial performance of each assigned property
• Prepare annual operating budgets and expense budgets
• Prepare CAM (Common Area Maintenance) and NNN reconciliations
• Prepare and distribute tenant CAM reconciliation letters, monthly cash flow reports, and rental billing statements
• Prepare monthly financial and narrative reports for property owners
• Review and approve invoices and accounts payable for accuracy and proper account coding
• Ensure all invoices are submitted to AP in a timely manner
• Ensure timely rent collection; monitor rent payments and follow up with delinquent tenants beginning on the 8th of each month
• Draft lease modifications and closing statements

Compliance & Recordkeeping

• Maintain compliance with Oregon real estate law
• Collect, log, and track Certificates of Insurance (COIs) from tenants and vendors, ensuring compliance and monitoring expiration dates
• Enter and update information in AppFolio, including maintenance work orders and contact details
• Maintain accurate records in Dropbox and other company systems

Team Collaboration & Office Support

• Provide administrative support to the Bookkeeper, including processing incoming invoices and mailing checks
• Assist other property managers during vacations or absences
• Contribute to a positive, solutions-oriented team environment
• Complete other duties as assigned

QUALIFICATIONS:

Required

• Financial literacy, including working knowledge of P&L statements and balance sheets
• Strong budgeting skills and analytical, problem-solving aptitude with the ability to resolve conflicts
• Experience reading and interpreting legal documentation, including leases and contracts
• Solid verbal and written communication skills
• Strong organizational and time-management skills; detail-oriented
• Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint
• Competency with property management and financial software (AppFolio preferred)
• A reliable vehicle, valid driver’s license, and current auto insurance — regular travel between properties is an essential function of this role
• Oregon Real Estate Property Manager or Broker License, or the ability to become licensed as a Property Manager within 6 months of employment

Preferred

• 1–2 years of property management experience; transferable experience from project management, construction, finance, hotel guest services, or facilities management also considered
• Prior commercial (vs. residential) portfolio experience
• Bachelor’s degree in business, real estate, finance, or a related field
