Job Summary

The ABA Assistant provides administrative and operational support to the clinical team to help ensure the efficient delivery of Applied Behavior Analysis (ABA) services. This role serves as a liaison between clients, families, insurance providers, Registered Behavior Technicians (RBTs), and Board Certified Behavior Analysts (BCBAs) by assisting with scheduling, credentialing requirements, insurance authorizations, and documentation management. The ABA Assistant plays an essential role in supporting compliance, maintaining accurate records, and ensuring continuity of care for every client.

The ideal candidate is highly organized, detail-oriented, compassionate, and able to manage multiple priorities in a fast-paced pediatric therapy environment while maintaining professionalism and confidentiality.

Essential Responsibilities

• Assist with tracking and maintaining RBT and BCBA credentialing, certification, and licensing requirements.
• Monitor employee certification renewal dates, continuing education requirements, and compliance deadlines.
• Assist with obtaining, tracking, and maintaining insurance authorizations for ABA services.
• Monitor authorization expiration dates and communicate renewal needs to the clinical team.
• Coordinate scheduling for client sessions, assessments, supervision visits, and staff meetings.
• Maintain accurate client records within the electronic medical record (EMR) system.
• Prepare, organize, and upload required documentation for insurance audits and compliance reviews.
• Verify client insurance information and assist with obtaining required referrals or authorizations.
• Communicate professionally with families regarding scheduling, documentation, and appointment reminders.
• Support BCBAs by preparing treatment-related documentation and ensuring required forms are completed.
• Assist with onboarding new ABA staff by collecting required employment and credentialing documentation.
• Maintain organized electronic and physical files while ensuring HIPAA compliance and client confidentiality.
• Collaborate with clinical and administrative staff to resolve scheduling or authorization issues.
• Respond promptly to emails, phone calls, and internal requests related to ABA services.
• Assist with general administrative duties, including filing, scanning, data entry, and maintaining office organization.
• Perform other administrative duties as assigned to support the ABA department.

Requirements

• Prior experience working with children in educational, clinical, or home-based settings is highly preferred.
• Knowledge of applied behavior analysis principles and experience implementing ABA therapy protocols.
• Strong skills in data collection, behavior management, and documenting medical records accurately.
• Ability to assist with ADLs and support clients’ daily routines compassionately.
• Familiarity with medical terminology, medical documentation standards, and HIPAA compliance.
• Excellent communication skills for client interaction and team collaboration.
• A genuine passion for supporting individuals with autism spectrum disorders (ASD) and neurodevelopmental disabilities.
