Position Summary The Operations Specialist is a central driver of day-to-day operational execution. This individual manages operations-specific projects, coordinates the systems and logistics that support field performance, and connects company leadership, field leaders, clients, and workers. The position is designed for someone who can take an operational priority, turn it into an organized plan, coordinate the people and resources involved, track progress, address obstacles, and drive the work through completion. This position blends the coordination and systems discipline of an Operations Specialist with a defined level of management responsibility. The Operations Specialist is expected to own assigned operational workflows and improvement projects, make sound day-to-day decisions within established authority, identify risks early, and create accountability across the organization. This is a dedicated operations position and does not include human-resources or office-administration responsibilities. The ideal candidate is highly organized, technologically capable, calm under pressure, and disciplined enough to distinguish a true emergency from an issue that should move through the normal chain of command. This person is self-sufficient, takes initiative without waiting for constant direction, and can manage several workstreams without losing focus. Success requires strong judgment, project-management ability, consistent follow-up, clear communication, and the ability to build structure without becoming a bottleneck. Essential Duties and Responsibilities Operations Project ManagementLead assigned operational projects from initial planning through implementation, stabilization, and closeout.Translate leadership priorities into clear project plans, responsibilities, deadlines, checkpoints, and measurable outcomes.Coordinate the people, systems, information, equipment, vendors, and other resources required to execute each initiative successfully.Maintain project trackers, identify dependencies and obstacles, and ensure responsible parties complete commitments on schedule.Provide concise status updates that identify completed work, outstanding decisions, emerging risks, and recommended next actions.Build sustainable operating processes so that completed initiatives become repeatable systems rather than temporary fixes.Manage initiatives such as new-project mobilization, workforce scheduling improvements, operational technology implementation, equipment-control systems, field-readiness programs, reporting processes, and other operations-focused priorities assigned by leadership. Operational Coordination and ExecutionCoordinate daily operational needs across multiple active projects and ensure that priorities, assignments, and deadlines are clearly communicated.Maintain visibility over staffing needs, schedules, project mobilizations, access requirements, equipment, supplies, and other field logistics.Track operational commitments from assignment through completion and follow up proactively when deadlines or deliverables are at risk.Resolve routine operational issues independently within established policies, budgets, and authority.Escalate high-risk, sensitive, financial, contractual, safety, personnel, or client-impacting matters promptly to the appropriate leader.Support the launch, stabilization, and closeout of projects by coordinating the people, information, documents, materials, and systems required for successful execution.Maintain operational readiness across active projects by coordinating field supplies, equipment, technology, access, and logistical needs. Field Operations CommunicationServe as a reliable communication link between executive leadership, field leadership, clients, and workers.Gather accurate information from the field and provide leadership with timely, concise, and decision-ready updates.Reinforce the established chain of command and route issues to the correct person instead of creating parallel or conflicting direction.Prepare and distribute operational schedules, work plans, updates, reports, meeting notes, and follow-up items.Communicate professionally and respectfully with a diverse, multilingual workforce; bilingual English/Spanish communication is strongly preferred. Project and Workforce OperationsAssist field leaders with workforce deployment, schedule coordination, site access, and project resource needs.Monitor assigned projects for staffing gaps, incomplete documentation, supply shortages, access problems, and other operational risks.Coordinate with leadership on workforce reassignments and schedule changes while ensuring that affected parties receive accurate information.Coordinate badging, workforce rosters, site-access requirements, and project-specific operational documentation.Maintain confidentiality when handling client, project, workforce, or business-sensitive operational information. Systems, Documentation, and ReportingMaintain accurate and current information in company scheduling, timekeeping, project-management, quality-control, and reporting systems.Develop and maintain trackers, checklists, standard operating procedures, templates, and other tools that improve consistency and accountability.Review information for accuracy before it is distributed or relied upon for operational decisions.Produce recurring operational reports and flag missing, late, inconsistent, or concerning information.Document decisions, responsibilities, due dates, and completion status so that important work does not depend on memory or informal conversations.Help select, implement, maintain, and improve operational technology, including scheduling, timekeeping, workforce-management, project-tracking, quality-control, and communication systems. Problem-Solving and Process ImprovementIdentify recurring operational problems, determine their likely root causes, and recommend practical improvements.Help standardize repeatable workflows while remaining flexible enough to respond to changing project conditions.Anticipate needs and address foreseeable issues before they become urgent.Balance speed with accuracy, recognizing when immediate action is necessary and when additional information or leadership approval is required.Contribute to a culture of accountability, responsiveness, discipline, and continuous improvement. Leadership and AccountabilityLead assigned operational initiatives, meetings, and follow-up efforts without requiring constant oversight.Set clear expectations for assigned work and hold responsible parties accountable for providing updates and completing commitments.Provide guidance and coordination to field leaders and operational team members when acting within an assigned area of responsibility.Model professionalism, composure, good judgment, and respect, particularly during periods of pressure or rapid change.Support leaders in implementing company decisions and reinforcing established standards; this role may coordinate work but does not independently issue formal discipline unless specifically authorized. Decision-Making Authority The Operations Specialist is authorized to:Make routine day-to-day decisions within established company policies, approved budgets, project requirements, and assigned responsibilities.Coordinate schedules, logistics, information, supplies, and resources for assigned projects and workflows.Request updates, documentation, and corrective follow-through from responsible personnel.Address routine client and field concerns when the response is consistent with the approved scope, company standards, and leadership direction.Recommend staffing adjustments, process changes, corrective actions, and operational priorities. The Operations Specialist must obtain leadership approval before:Hiring, terminating, formally disciplining, or changing the compensation of any worker or staff member.Committing the company to unapproved expenses, contract changes, pricing, schedule guarantees, or scope changes.Making significant staffing decisions that affect multiple projects or companywide priorities.Communicating on legal, regulatory, insurance, employee-relations, or other sensitive matters on behalf of the company.Changing established policies, organizational structure, or client commitments. Required QualificationsThree or more years of experience in operations coordination, project coordination, logistics, workforce operations, multi-site services, or a related environment.Demonstrated ability to manage multiple active priorities, deadlines, and stakeholders with limited supervision.Strong organizational, written, verbal, and follow-up skills.Sound judgment and the ability to remain calm, factual, and solution-oriented under pressure.Proficiency with Microsoft 365, Google Workspace, scheduling tools, project-tracking platforms, and workforce-management systems.Ability to work effectively with field personnel, clients, and company leadership and to visit active project locations as needed.Valid driver's license and reliable transportation. Preferred QualificationsExperience supporting a field-based, multi-location, labor-intensive, or rapidly scaling operation.Bilingual fluency in English and Spanish.Experience coordinating a high-volume workforce across multiple locations or shifts.Experience developing procedures, trackers, reports, or operational controls.Familiarity with field safety expectations, controlled-access locations, workforce scheduling, and client reporting.Demonstrated experience leading cross-functional projects or implementing operational systems and process improvements. Work Environment and Expectations This position operates in a fast-paced environment supporting multiple projects, changing schedules, and time-sensitive client needs. The Operations Specialist may divide time between the office and active project sites and may occasionally be required to respond outside standard business hours when a legitimate operational need arises. Regular site visits may require the use of personal protective equipment and compliance with project-specific safety and access requirements. The individual must be dependable, responsive, and capable of maintaining composure and sound judgment when priorities shift. Availability does not mean treating every issue as an emergency; the expectation is disciplined triage, clear communication, and reliable resolution.
