Long-term Contract Position
Project Manager
This company is a long-standing rigging, crane, storage, and specialty services company located in Beltsville, Maryland. The company has served customers for decades and is entering a new phase of growth, structure, and operational improvement under new ownership.
We are seeking a hands-on Project Manager who can take ownership of projects from the initial customer request through planning, scheduling, execution, invoicing, and closeout.
This position is ideal for someone who understands construction, rigging, crane services, logistics, specialty trades, union labor, or another fast-moving field services environment.
Position Summary
The Project Manager will serve as the primary point of coordination for assigned customer projects and jobs.
This person will coordinate with ownership, sales, dispatch, field personnel, customers, vendors, union labor, accounting, and office operations to ensure projects are properly planned, documented, scheduled, executed, billed, and closed out.
The Project Manager will track each project from the request-to-bid stage through site visits, Methods of Procedure development, estimating, customer approval, scheduling, field execution, change orders, invoicing, and final closeout.
This role requires strong judgment, initiative, organization, and follow-through. The successful candidate must be able to manage multiple projects, identify risks early, communicate clearly, and move work forward in an environment where priorities may shift quickly.
This is not a passive administrative project role. The Project Manager must actively coordinate people, information, schedules, documentation, and customer expectations.
Key Responsibilities
Project Planning and Coordination
· Manage assigned projects from initial request through completion and closeout
· Review project scope, customer requirements, deadlines, site conditions, labor needs, equipment requirements, and documentation needs
· Coordinate site visits, project planning meetings, estimates, Methods of Procedure, schedules, and customer approvals
· Develop and maintain project plans, timelines, task lists, and milestone trackers
· Identify dependencies, risks, missing information, and potential scheduling conflicts
· Confirm that the project team understands the scope, schedule, responsibilities, and customer expectations
· Provide ownership with timely updates regarding project status, risks, delays, and recommended actions
Customer and Stakeholder Communication
· Serve as the primary point of contact for assigned customers throughout the project lifecycle
· Respond to customer requests and questions promptly and professionally
· Communicate project schedules, documentation requirements, status changes, and potential delays
· Coordinate communication among customers, sales, dispatch, field crews, vendors, accounting, and ownership
· Document important customer decisions, approvals, scope changes, and commitments
· Escalate high-risk, sensitive, or unresolved matters to ownership with context and recommendations
Estimating and Scope Support
· Coordinate with sales, ownership, field personnel, and estimators to ensure estimates reflect the complete project scope
· Gather labor, equipment, material, transportation, subcontractor, and scheduling information needed for pricing
· Review estimates for completeness before customer submission
· Help identify exclusions, assumptions, risks, and potential scope gaps
· Track submitted estimates and follow up on customer approvals, purchase orders, and required documentation
· Ensure approved scope and pricing are communicated to the appropriate internal team members
Methods of Procedure and Job Documentation
· Coordinate the development, review, submission, and approval of Methods of Procedure
· Ensure project files contain current estimates, contracts, purchase orders, MOPs, customer approvals, insurance documents, job records, and correspondence
· Maintain complete, organized, and accessible electronic project files
· Follow up on missing information before it creates project, billing, safety, or customer-service delays
· Ensure field personnel have the current information and documentation needed to perform the work
· Support consistent use of project checklists, templates, and standard procedures
Scheduling, Dispatch, and Field Coordination
· Work closely with dispatch and field leadership to schedule union labor, equipment, vehicles, subcontractors, and other project resources
· Confirm labor classifications, reporting times, site access requirements, credentials, and customer-specific requirements
· Monitor project schedules and communicate changes promptly
· Help resolve scheduling conflicts and resource constraints
· Maintain awareness of field activity and respond to issues affecting project completion
· Coordinate pre-job and post-job communication with field personnel
· Ensure completed field documentation, timesheets, tickets, and job records are submitted accurately and on time
Union Labor Coordination
· Support project-related union labor planning and coordination
· Maintain awareness of applicable labor classifications, reporting requirements, work rules, and administrative processes
· Coordinate with dispatch, field supervisors, office operations, and accounting regarding union-related project documentation
· Confirm that labor hours, classifications, and supporting documentation are properly recorded
· Escalate labor-related concerns or discrepancies before they affect payroll, billing, or customer relationships
Change Orders and Scope Management
· Identify work that falls outside the approved project scope
· Document changes in customer requirements, site conditions, labor needs, equipment needs, or schedules
· Prepare or coordinate change-order documentation and pricing
· Obtain appropriate customer authorization before additional work is performed whenever possible
· Track pending and approved change orders
· Ensure approved change orders are communicated to field personnel, accounting, and ownership
· Reduce uncompensated work by maintaining clear documentation and timely customer communication
Billing Readiness and Financial Tracking
· Ensure completed projects are supported by the documentation required for invoicing
· Coordinate with office operations and accounting to provide purchase orders, approved estimates, tickets, labor records, equipment records, change orders, and customer approvals
· Review project information for completeness before billing
· Track project costs, billed amounts, change-order amounts, and outstanding documentation
· Assist with resolving customer billing questions related to project scope or performance
· Identify project issues that may affect profitability, cash flow, or timely invoicing
· Support job-costing and project-performance reviews
Project Closeout and Continuous Improvement
· Confirm that assigned projects have been completed, documented, invoiced, and closed
· Ensure outstanding customer, vendor, field, and administrative matters are resolved
· Conduct or coordinate project debriefs for significant or complex jobs
· Document lessons learned and recommended process improvements
· Identify recurring project-management issues and recommend practical solutions
· Help develop templates, checklists, trackers, and procedures that improve project delivery
Required Qualifications
· Minimum of five years of project management, construction management, field operations, rigging, crane services, logistics, mechanical contracting, specialty trades, or related experience
· Experience managing projects in a union labor environment is required
· Experience in construction, rigging, crane services, industrial services, logistics, transportation, specialty trades, or a comparable fast-moving environment
· Demonstrated ability to manage multiple projects, schedules, deadlines, customers, and competing priorities
· Understanding of how estimating, scheduling, field operations, labor, documentation, billing, and customer service connect
· Strong critical-thinking and problem-solving skills
· Sound judgment and the ability to prioritize work based on urgency, operational risk, customer impact, and financial consequences
· Ability to work independently and move projects forward without constant direction
· Strong follow-through and attention to detail
· Strong written and verbal communication skills
· Ability to hold internal and external parties accountable professionally and respectfully
· Comfort working directly with owners, customers, field personnel, dispatch, union labor, vendors, and accounting
· Proficiency with Microsoft Excel, Word, Outlook, shared files, and project-tracking tools
· Ability to create and maintain project schedules, trackers, reports, and written documentation
· Valid driver’s license and ability to travel locally to customers or job sites as needed
Preferred Qualifications
· Direct experience in rigging, crane services, heavy hauling, machinery moving, mechanical contracting, industrial services, or specialty construction
· Familiarity with Methods of Procedure, job hazard documentation, construction drawings, field tickets, and project closeout documentation
· Experience supporting government, transit, commercial, or industrial customers
· Experience coordinating union crews and labor classifications
· Experience with purchase orders, change orders, job costing, and construction billing
· Familiarity with QuickBooks Online, dispatch systems, construction management software, or similar platforms
· Project Management Professional certification, construction management training, or related credentials are helpful but not required
· Prior experience in a small, privately held, or family-owned business environment

Compensation
Candidates with significant direct experience in union construction, rigging, crane services, heavy hauling, specialty trades, complex scheduling, or project financial management may be considered above the stated range based on qualifications.

Work Location
This is a full-time, on-site position based in Beltsville, Maryland.
Regular local travel to customer locations or job sites may be required based on project needs.
Reporting Relationship
This position reports directly to ownership and works closely with sales, dispatch, field personnel, the Office Operations Manager, accounting, customers, vendors, and executive advisory support.
